Job Description - Property Services Supervisor

The Property Services department is part of the House of Friendship Housing team; providing support to the programs of House of Friendship. The Property Supervisor will be responsible to ensure maintenance team members are working in an efficient manner maintaining and repairing building systems while providing respectful and supportive interaction with residents at all times. This position works closely with the Property Services Manager to ensure timely and effective maintenance and repairs to all program locations. The position supervises a team of Maintenance Technicians and Custodians.

 

** This is a permanent, salaried, full-time (37.5 hours per week) position with paid sick time,

personal days, vacation time; group health benefits and defined contribution pension plan.

Schedule will be generally weekday, daytime hours.

Flexibility will be required for some occasional evening and weekend hours.

Valid G class driver’s license and access to a reliable vehicle are required

for travel within the Waterloo Region. **

 

Key Responsibilities:

• Lead, develop and support the property services team including students and/or volunteers

• Responsible for hiring, onboarding and supervision of cross-program maintenance staff and volunteers

• Maintain communication with staff team, carry out coaching, regular check ins and reviews and supporting staff professional development

• Support maintenance and custodial team members to ensure all building systems are kept in good repair and work orders are responded to in a timely fashion

• Work with maintenance team to keep equipment in good repair and safe working condition including in resident suites and common areas, working with Property Manager and/or external contractors when needed

• Coordinate as required, and provide support and direction to external contractors working at the program site (i.e. provide escort, access, communicate issues and priorities)

• Develop and maintain accurate records for all regular and emergency maintenance and repairs, pest control, maintenance and maintain all necessary equipment logs

• Delegate work orders received through CMMS software used by all staff to submit maintenance and repair requests

• Responsible for establishing preventative maintenance schedule and coordinating and leading preventative maintenance activities for all properties and vehicles

• Maintain property keys and building security systems

• Responsible for sourcing, and purchasing agency supplies

• Ensuring preventative maintenance program is being kept up to date and that preventative repairs and tasks are being completed in a timely manner

• Notify House of Friendship Property Manager of building issues where input/guidance is required

• Work with the Property Team to establish preventative maintenance protocols and procedures for new equipment as required

• Participate in the on call rotation for after hours emergency response for building emergencies (all properties)

• Assist with emergency clean up involving building systems (e.g. following a plumbing breakdown)

• Assist and coordinate service and repair of agency owned fleet vehicles

• Support program staff in ordering and maintaining supply levels of all consumables (i.e. paper and plastic products, softener salt, cleaning supplies, etc.)

• Maintain MSDS binder as required at each site where cleaning supplies are stored

• Assist other maintenance team members on larger projects and replacements

• Participate as part of the Property Team in Capital Replacement and project planning and implementation

• Maintain confidentiality in compliance with Personal Health Information Protection Act (PHIPA)

• Performance development activities including 1x1, onboarding, training, annual Performance Development, etc using an anti-oppressive, trauma informed approach

• Understand, implement and be accountable to human resources, organizational and program policies, procedures and protocols including hiring processes, leaves of absence, incident reporting, harm reduction, fire prevention, privacy/confidentiality, safe substance use onsite, restrictions and restorative practices, storage of personal belongings, etc.

• Participate in scheduled management meetings, program and organizational townhalls; working collaboratively with members of leadership across House of Friendship programs, including managers, supervisors and also at the director level

 

Job Specific Knowledge/Skills:

• Knowledge of building code, property standards, fire, health and safety regulations preferred

• Physical ability to lift and move heavy items

• Excellent organizational, time management and written and verbal communication skills required

• Skilled at detailed record keeping and task completion

• Experience working with contractors and service providers, day to day supervision of team members would be an asset

• Proficiency in Microsoft Office required. Experience working with Maintenance software is an asset

• Strong interest in working with people living on a low income with support needs

 

Education/Experience:

• Minimum Grade 12 education, trade certification is an asset

• Minimum 5 years of experience in a related trade (carpentry, plumbing, electrical, mechanical, painting and refurbishing) or building maintenance required

 

Critical Skills:

• Commitment to understand and uphold the mission and values of House of Friendship is expected

• Exemplary emotional intelligence, resilience, communication, conflict management and problem solving skills required

• Ability to work professionally as a team member with staff, participants and community members

• Experience or strong interest in working with diverse populations including people from various cultural backgrounds, income levels, and sensitivity to their needs

• Experience with and commitment to using an anti-racism, anti-oppressive and trauma informed approach to consultation, program design, evaluations of processes and service delivery

• Must be dependable, professional, flexible, a team player, and have a positive attitude

• Respectful, supportive and engaging approach to persons with physical and/or cognitive disabilities, addictions, mental illness and other life challenges

• Excellent project, timeline and deadline management skills including skills in logistics, planning and detailed record keeping

Rate of Pay:

At House of Friendship all compensation ranges are categorized under a series of “grades” and we base our payment structure on internal equity. When determining rate of pay, a candidate’s past related experience will be taken into consideration.

 

Grade: 5 Supervisor II

Min: $29.74

Mid: $34.13

Max: $38.52

 

Working Conditions: 

•37.5 hours per week

• Generally daytime, weekday hours with occasional weekend and evening work

• Participate in the on-call rotation for after-hours emergency response for building emergencies

• Travel throughout the region of Waterloo

• This position involves heavy lifting

• Must be physically able to lift and move heavy items such as bags of softener salt

• Encountering participants at program sites who may be under the influence of alcohol or other drugs, and/or experiencing symptoms of mental illness can be expected
