Job Description - Student Services Administrator

Student Services Administrator Location Montréal, QC : Please refer to the How to Apply for a Job (for External Candidates) job aid for instructions on how to apply. This is a part-time position, without the possibility of renewal, situated in the Department of Electrical and Computer Engineering, Faculty of Engineering. Primary Responsibilities:
  • Acts as first line of contact for all new graduate admits throughout the admission cycle regarding admission, transfers credits, registration, advising dates, orientation etc.
  • Implement administrative procedures or systems that are moderately complex in support of the faculty, department or unit's operations and ensure activities meet or exceed established quality requirements.
  • Determine admission eligibility of applicants, by considering multiple sources of information, based on predetermined guidelines and procedures.
  • Review and make decisions on straightforward admission files. Consult with senior staff on complex applications. Follow up on missing documentation. Reviews and consults the application documentation for readmissions and Inter/Intra transfer applicants.
  • Apply information received and select the most appropriate procedures for performing admission, government reporting, recruitment, scholarships and student record activities. Creates, maintains and archives student files.
  • Communicate with prospective students, applicants, parents, guidance counsellors and other stakeholders regarding admissions, enrolment procedures and applications and other inquiries. Answers complex questions related to student records, student affairs, admissions, registration and moderately complex student issues.
  • Administer activities related to academic student records and liaise with faculties and units.
  • Participate in student recruitment activities. May attend job fairs, high school and CEGEP visits, and Open House.
  • Create material to ensure accuracy of information, and handouts to bring to site visits or post on website (Website, welcome letters, check list, advising dates and orientations).
  • Establish and foster effective working relationships by identifying needs and providing support in the delivery of services. Assess and resolve administrative problems. When appropriate, inform supervisor and formulate recommendations.
  • Attend meetings.

Proven work experience in graduate student affairs at McGill University required. Familiarity with the life cycle of graduate students (admissions process, registration, scholarships, graduation, etc.). Demonstrated organizational skills and ability to multi-task. Ability to prioritize, meet strict deadlines and to work under pressure. Must be service-oriented and able to transmit and receive information accurately. Demonstrated ability to work in a PC environment using Windows, word-processing, databases, spreadsheets, Slate, MyThesis, MyProgress, Banner, Minerva (SIS). Proven leadership, initiative, determination and creativity in solving problems. A team player with the ability to work independently and manage multiple projects; strong communication skills and ability to interact positively and effectively on a professional level with internal and external stake holders. Knowledge of French and English. McGill University is an English-language university where day to day duties may require English communication both verbally and in writing.
