Payroll Coordinator

This is the job for you! We are currently looking for a Payroll Coordinator for one of our clients in the insurance industry.

Responsibilities:

Payroll Processing - 70%

• Review daily PECI (Payroll Effective Change Interface) integrations between Workday and ADP GlobalView. Monitor transactions and make manual adjustments in ADP GlobalView when errors occur. Changes include, but are not limited to, new hires, employee transfers, incentive pay, voluntary and involuntary deductions, tax changes, voluntary and involuntary terminations, STD, LTD, paid and unpaid leaves of absence, overpayment adjustments, etc.

• Prepare documentation to support the calculations and adjustments that impact the gross-to-net payroll, including regular pay (salary), incentive payments, one-time payments, termination pay (voluntary & involuntary), vacation on termination, leave payments, overpayments & recovery, voluntary deductions, garnishments, employee tax setup.

• Be familiar with reviewing inbound integrations from Workday, third-party vendors, or other business units (e.g., commissions, benefits, equity, charitable deductions, pension plans, etc.).

• Be familiar with reviewing inbound PICOF file (time off and overtime) from Workday and adjusting in the payroll system if needed.

• Create Record of Employment (ROE) (Canada only).

• Perform basic reconciliations and analysis in Excel or other systems.

• Prepare batch files to load into payroll.

• Create on-demand checks and EFTs for off-cycle payments or payroll corrections.

• Check and reply to mail from the government regarding current and former employees’ information in a timely manner when requested.

Tier 1B NA and HRAdminNA Emails and ASKHR Cases – 20%

• Research, resolve, and respond (written and verbal) to Tier 1B payroll inquiries from the HR Call center via the case management tool Salesforce within agreed-upon SLAs.

• Monitor HRAdminNA mailbox and respond to business unit inquiries.

• Sort, route, and process scanned or physical mail related to payroll.

Payroll Governance and Controls – 10%

• Verify payroll data for reasonableness and compliance.

• Maintain payroll documentation and procedures as required for internal and external audit compliance.

• Perform other responsibilities as assigned.

What you will need to succeed:

• Two-year degree or equivalent combination of education and experience.

• 1-3 years of full-cycle Canadian payroll processing experience.

• PCP with NPI (National Payroll Institute) certification is an asset.

• Experience with large third-party payroll providers like ADP, Ceridian, or UKG.

• Experience with HR systems like Workday, PeopleSoft, or Oracle.

• Experience with ADP GlobalView (as a processing services client) is a plus.

• Familiarity with a large selection of Canadian provinces is a plus.

• Strong sense of logic and aptitude for mathematics.

• Working knowledge of payroll processing, tax principles, wage & hour legislation.

• Excellent time management skills with the ability to focus in a busy environment.

• Good verbal and written communication skills.

• High attention to detail, accuracy, efficiency, and ability to handle multiple priorities.

• Ability to follow complex verbal and written directions and instructions (SOPs) without deviation.

• Ability to work under pressure against tight deadlines.

• Willingness to participate in Teams, Zoom, Webex, or other conference platforms on camera.

• Ability to maintain complete confidentiality and protect sensitive and personal data.

• Excellent organizational and time management skills capable of prioritizing work.

• Analytical, problem-solving, and critical thinking skills.

• Ability to work in a fast-paced environment.

• Capable of working autonomously and as a team player.

• Ability to communicate complex or technical explanations to employees and different government departments (e.g., tax questions, breakdown of pay statements, etc.).

• Intermediate to strong Microsoft Excel skills.

• Comfortable collaborating and working side by side with colleagues until proficiency is achieved.

• Comfortable with frequent check-ins and daily reviews of work.
