Job Description - Catering Coordinator

The Catering Coordinator is the face of the Banquet Department. They will work with conveners from start to finish to ensure that the guest's vision for their function or event meets and exceeds their expectations.

Duties:

  • Main point of contact for guests looking to book functions & special events in the banquet space and restaurant facilities
  • Responds promptly to phone calls and emails to book events in a timely and efficient manner
  • Submit proposals and estimates for banquet events
  • Meet guests to tour banquet facilities and finalize contract details
  • Complete banquet event orders and floor plans
  • Ensure that guests sign their BEO's and complete proper paperwork for payment of events. (Credit card forms, credit applications, deposits)
  • Responsible for creating & managing group bookings for events that require rooms and meeting space. This includes meetings, teams, conferences & weddings.
  • Create and send weekly function summaries to all departments and tenants of the hotel
  • Work closely with the kitchen team to coordinate special menus and requests
  • Open communication with the front desk, sales, restaurant, and groups team members to ensure pertinent information is shared
  • Ensure all departments within the hotel have access to the contracts so they can fulfill the terms of the contract in a timely manner
  • Prepare printed signage for banquet rooms and update the Google Calendar for screens at the front desk
  • Present monthly, quarterly, and yearly forecasts and budgets
  • Presence is required at large functions and hotel events
  • Look at need dates and create events and book entertainment to generate revenue for the hotel
  • Must complete a market study of competitors, including, pricing, menus, and promotions in order to ensure the Medicine Hat Lodge is competitive with the industry requirements.
  • Attend industry related events and tradeshows as a representative of the Medicine Hat Lodge
  • Actively research and reach out different companies and organizations to find business opportunities

No fix schedule of work, however, the majority of time the schedule will be Monday - Friday from 9am - 5pm. The selected candidate will be required to work evenings, weekends and holidays when there is a large event in order to ensure everything runs smooth.

Job Types: Full-time, Permanent


Pay: $40,000 plus banquet gratuities
