Our team and what we’ll accomplish together
As an Administrative Coordinator, your core mission is to provide leadership and oversight to on-site customer service to patients and clinicians. The role will act as an onsite leader among Medical Office Assistants and report to the clinic team leader.
What you’ll do
- Responsible for Medical Office Assistant (MOA) Training and Skill Set Maintenance
- Train new staff on clinic duties
- Lead MOA during shifts and act as a liaison for current and new physicians
- Perform MOA duties and act as a senior MOA to provide guidance and advise other MOAs
- Manage the receipt and distribution of faxes, emails and postal mail
- Manage and update Physician schedules
- Perform billing for uninsured services
- Assign tasks for clinic associates
- Provide administrative support to Team Leaders where required
- Troubleshoot issues and escalations from patients and physicians where possible before escalating to team leader
Qualifications
What you bring
- Excellent organizational skills, prioritization and attention to detail to maintain accurate records
- Demonstrate strong customer service skills and professionalism
- Good knowledge of medical terminology so they can respond appropriately to requests from health care professionals and patients
- Excellent verbal and written communication skills, especially in French and strong interpersonal (phone/in-person/physicians)
- Ability to work independently but also have collaborative spirit
- Attendance and punctuality
- Able to adapt and embrace change
- Ability to multitask
- Tech savvy (i.e. EMR, Microsoft Office (Outlook, Word, Excel, and PowerPoint) or Google Workspace)
- Stress management
- Versatile and flexible
- High School diploma
Great-to-haves
- College or University degree is an asset but not mandatory.
- Medical Office Assistant Certification is an asset
- 2-3 years of progressively responsible administrative experience, preferably in the medical field
