Description

Location: 3280 Bloor St
Status: Permanent, full time 8:00 am-4:00 pm
Schedule: Monday to Friday (7,5 per day/37.5 hours per week)

The Clinic Operations Coordinator partners with the Clinic Manager by ensuring effective workflow and processes of the day to day operations in the clinic and facilitating high-level of client care. You also get to work closely with a diverse team of clinicians and administrative staff!

Here’s how

  • Coordinates the daily flow of patients by effectively monitoring appointment length and wait times and prioritizing accordingly
  • Accurately records and compiles daily flow metrics based on the time of each appointment and test
  • Responds to questions, concerns and provides accurate information to clients
  • Prepares next day’s flow and protocols, coordination by planning the ultrasound schedule along with on-site payments and communicates this information to the front-of-house team
  • End to end file ownership: reviews the protocol with each client at the beginning and the end of their appointment to ensure all requested and required tests are completed and required additional tests and vaccinations are added onto the booking system
  • Ensures accurate and complete information is obtained from our client and available for daily procedure(s) to be performed and collaborates with the front-of-house team so that the information is updated in our database in a timely manner
  • Reports status of patient flow processes to Clinic Administration Supervisor
  • Contributes to problem resolution, modification of processes and participates in any special projects and/or program initiatives
  • Shows accountability for defined quality measurements including patient wait times, patient encounters, etc.
  • Provides support for client specific admin processes
  • Works collaboratively and effectively with all team members to ensure positive client experience
  • Assists in additional daily administrative tasks as required and requested by supervisor

Qualifications

You're the missing piece of the puzzle

  • 2-3 years of relevant experience working in a fast paced environment, providing a high degree of customer service
  • Previous experience in planning and coordination strongly preferred
  • Excellent command of the English language, both verbal and written
  • Exhibits a professional image, mature communication style and polished manner with clients
  • Ability to handle sensitive situations with tact while respecting patient confidentiality at all times
  • Self-starter who demonstrates attention to detail, a high level of accountability and sound judgement
  • Demonstrates flexibility and the ability to work effectively in a team environment
  • Works well under pressure and demonstrates a sense of urgency in completing time sensitive tasks
  • Demonstrates effective organizational, multitasking and problem solving abilities
  • Proficient with Microsoft Office applications (Word, Outlook, Excel and PowerPoint)
