About The Role The Executive Assistant provides confidential administrative and secretarial support by responding to a wide range of general and confidential inquiries; writing and preparing correspondence; liaising with internal and external contacts; and monitoring and initiating follow-up actions and research that support the itinerary of senior leaders in the office. The Executive Assistant has primary responsibility for coordinating and maintaining appointment calendar(s); scheduling regular committee and other meetings; managing various domestic and international travel schedules and arrangements; and coordinating special events. The Executive Assistant provides highly confidential administrative support to the search processes for senior administrative and academic positions in the office, as assigned. The ideal candidate demonstrates a high level of organization and prioritization along with exceptional relationship-building skills. They possess excellent critical thinking and problem-solving capabilities, and are strong communicators. They conduct their work with high accuracy, transcribe meeting minutes, and supervise temporary staff when required. The ideal individual exercises sound judgment and discretion when composing and distributing sensitive correspondence. Additionally, they are proficient in word processing, calendar management, presentation and graphics, and spreadsheet applications, with a solid understanding of web design software. Qualifications A two-year Diploma in Business or Administrative Management or related field, and four years of directly related experience, or an equivalent combination of education, training, and experience.
