Job Description - Pharmacy Inventory Coordinator/ PACMED Operator

Under the direct supervision of a licensed Pharmacist, the Pharmacy Inventory Coordinator/Pacmed Operator assists in maintaining inventory levels in the pharmacy, updating appropriate records and ordering necessary medications to fulfill pharmacy orders. In addition, they will be the primary operator of the Automatic Packager (Pacmed) equipment for fulfilling pharmacy orders.

DUTIES AND RESPONSIBILITIES:

  • Assists the pharmacist in maintaining federal, provincial, and local laws, accrediting body standards, and Policies and Procedures (P&Ps)
  • Prepares unit dose and multi-dose strip packaging of medications using the Pacmed packaging equipment, in addition to assisting in the counting, labeling and packaging of other medications as needed
  • Prepares and prints PACMED reports from Kroll.
  • Maintains the inventory of the Pacmed machine canisters by placing the appropriate orders, updating Core software and filling/changing canisters as required
  • Updates preferred brands to be used in the pharmacy in the Kroll pharmacy system and Pacmed Core system
  • Maintains inventory of supplies necessary for operation of the Pacmed equipment
  • Changes printer ribbons, packaging ribbon and performs recommended cleaning procedure for Pacmed equipment
  • Assists in ensuring that the pharmacy is fully stocked with medications needed to process upcoming refills, including those for “autorefill” prescriptions, and prescriptions that are in scheduled batches
  • Places orders for inventory from McKesson (through Pharmaclik), or from DEX Wholesale (internally)
  • Updates the inventory levels in the central database (ERP) by creating purchase orders, receiving orders, and creating new drug files, transferring stock from other locations, where appropriate
  • Maintains appropriate inventory levels through regular cycle counts and updating the counts in both NAV (ERP) and Kroll, while also communicating pertinent information with the main purchasing team
  • Prepares and requests return for all expired or damaged drugs to the appropriate wholesaler
  • Quarantines items from shelf that have expired and requests adjustments from purchasing team, as required
  • Assists the pharmacist in handling drug/product recalls, recovering stock from patients and returning for credit as per the recall notice, while adjusting system inventory counts
  • Maintains pharmacy records including filing and documenting required information on dispensing records
  • Assists the pharmacist in entering prescriptions into the prescription software (Kroll), and filling/billing such prescriptions, when necessary
  • Communicates appropriately with all members of the healthcare team.
  • Documents appropriately according to P&Ps, all activities using required paperwork (e.g. Pacmed batch logs)
  • Participates in Performance Improvement and Quality Assurance activities education programs and department/branch meetings
  • Performs other duties as assigned

Job Qualification

QUALIFICATIONS

Education and Experience:

  • Experience with PACMED or automated packaging machine is a must.
  • Pharmacy Assistant Certificate/Diploma from an accredited institution is preferred.
  • Experience in a busy community pharmacy setting or specialty pharmacy setting is preferred.
  • Experience with Kroll pharmacy software is an asset.

Other Skills and Abilities:

  • Organized and disciplined; strong computer skills
  • Typing speed min. 40wpm;
  • Able to perform simple pharmacy mathematical calculations;
  • Strong communication skills (phone and written)

Physical Demands:

  • The employee is regularly required to talk and hear
  • Use computer and other equipment and reach with hands and arms
  • May need to kneel or bend when operating equipment
  • Vision requirements include close vision, colour vision, peripheral vision, depth perception and the ability to adjust focus
  • Lifting required as per employee capacity, employee must notify Supervisor regarding any health issues that may affect ability to lift
