Job Description - Procurement Specialist

We are seeking a motivated and detail-oriented individual to join our procurement team as a Procurement Specialist. The ideal candidate will assist in the procurement process, from sourcing suppliers to negotiating contracts, ensuring timely delivery of goods and services while maintaining cost-effectiveness. This entry-level position offers a great opportunity for professional growth within the procurement field.

What you will do:

Supplier Sourcing and Evaluation:

· Identify potential suppliers through market research and analysis.

· Evaluate and assess suppliers based on quality, reliability, and cost.

· Maintain a comprehensive supplier database.

RFQ (Request for Quotation) Management:

· Prepare and distribute RFQs to potential suppliers.

· Collect and analyze supplier quotations.

· Collaborate with internal stakeholders to review and select the best suppliers.

Negotiation and Contract Management:

· Assist in negotiating favorable terms and conditions with suppliers.

· Collaborate with legal and other relevant departments to ensure contract compliance.

· Maintain accurate records of all contracts and agreements.

Purchase Order Processing:

· Generate purchase orders based on approved requisitions.

· Verify order accuracy and confirm delivery schedules.

· Communicate with suppliers to address any issues and ensure timely deliveries.

Cost Monitoring and Analysis:

· Track and analyze procurement costs.

· Identify opportunities for cost savings and process improvements.

· Prepare reports on procurement metrics and key performance indicators.

Collaboration with Cross-functional Teams:

· Work closely with departments such as finance, operations, and project management to understand their procurement needs.

· Collaborate with team members to achieve overall organizational goals.

Compliance and Risk Management:

· Ensure compliance with company policies and relevant regulations.

· Identify and mitigate procurement-related risks.

Professional Development:

· Stay informed about industry trends, best practices, and new technologies in procurement.

· Actively participate in training and development opportunities.

Experience/skills you will need:

· Bachelor's degree in Business, Supply Chain Management, or a related field; or equivalent experience.

· Strong analytical and negotiation skills.

· Excellent communication and interpersonal skills.

· Attention to detail and ability to manage multiple tasks simultaneously.

· Proficient in Microsoft Office Suite and familiarity with procurement software is a plus.
