JOB PURPOSE AND SUMMARY This position reports to the Vice-President Education and Academic Affairs and supports the Director of Education to provide executive level administrative support. This role leads the coordination of project work, committees and strategic projects related to Education at Trillium Health Partners. JOB DUTIES AND RESPONSIBILITIES Reporting directly to the Vice-President, Education & Academic Affairs, the Senior Divisional Coordinator works across all locations of Trillium Health Partners to support and fulfill a range of key responsibilities including:
  • Provide senior-level support to VP Education & Academic Affairs, THP including but not limited to prioritization and oversight of daily calendar management, expense report management, meeting coordination, room booking and audiovisual and videoconference equipment set up, minute-taking and review/triage of incoming correspondence
  • Collaborate with other administrative support team members across THP leadership team
  • Collaborate with external stakeholders, including the University of Toronto, UTM
  • Manage the development and distribution of communications, including memos, briefing notes, letters, reports, and presentations
  • Triage and prioritize incoming requests, correspondence to the VP Education & Academic Affairs
  • Liaise with leadership team to track, respond and escalate various internal and external requests as appropriate.
  • Liaise with Education leadership to coordinate strategic and operational initiatives including but not limited to development/tracking of annual work plans, and goals and objectives
  • Collaborate with other programs and departments to support strategic collaboration and align effective operations;
  • Perform external and internal research and analysis across a broad spectrum of specialties, leveraging business acumen and writing, to create reports, presentations, correspondence and other documents for both internal and external use
  • Manage and lead special projects, upon request of the VP, Education & Academic Affairs
  • Collaborate with Physician Leaders to develop strategic agendas for Education Program leadership committee meetings
  • Collaborate with the appropriate senior leaders and administrative supports to align on strategic agendas and cross committee communication requirements
  • Assists in the promotion of interprofessional education programs;
  • Travel between all three sites of Trillium Health Partners is required;
  • Regular full time position, with flexibility to work outside of regular business hours to meet stakeholder needs as necessary.
JOB SPECIFICATIONS Knowledge & Experience
  • A bachelor degree is required;
  • A master's degree in public/health/business administration considered an asset;
  • Strong ability to work independently and proactively with minimal direction as well as within a dynamic team setting
  • Strong verbal and written communication skills
  • Excellent interpersonal and organizational skills
  • Exceptional time management and prioritization skills
  • Proactive thinker with demonstrated ability to apply sound judgement
  • Strong problem solving, analytical and conflict resolution skills
  • Excellent technical skills in full Microsoft Office suite, including Word, Excel and PowerPoint

  • Ability to link operational practices to business strategies
  • Excellent ability to work independently or within a dynamic team setting;
  • Excellent decision-making, problem solving, and conflict resolution skills;
  • Excellent work ethic and positive attitude that demonstrates THP values of courage, compassion and excellence;
  • Highly attentive to detail and quality;
  • Advanced skills in MS Office, specifically with Outlook, Word, Excel, PowerPoint; and
  • Excellent attendance record.
