The Department of Sociology at the University of Toronto is consistently the top-ranked sociology department in Canada and one of the best in the world. We are home to the Centre for Global Social Policy, created in 2013 to support collaborative, international research that speaks to pressing social policy concerns. We have internationally-renowned scholars with excellent track records for securing research funding, producing outstanding sociological research, and extensively mentoring our graduate students. The Department Manager is the administrative lead for the Department of Sociology. Working independently and reporting to the Chair, the Department Manager provides leadership to administrative staff and has overall operational and administrative management for the Department of Sociology. This position will lead and motivate administrative staff members as well as oversee their assignment of work, hiring, performance management and professional development.

The incumbent is responsible for administrative departmental functions including departmental budgeting and finances, human resources management and information technology, facilities and space management. This position manages the financial resources of the department including all research grants, advises and implements policies on all budgetary matters including preparing and managing the annual operating budget. The Department Manager will also have responsibility for the financial management of the graduate program and be expected to provide information on the budget to the Graduate Chair, as well as issues that are relevant to the graduate program.

The Department Manager will work closely with the Chair and Associate Chairs in planning and establishing administrative policies and procedures. It is expected that the Department Manager will participate in the resolution of grievances from the USW and work to resolve informal complaints from staff in consultation with Human Resources and ensure that administrative and financial practices relating to both administrative and academic staff adhere to the University’s policy and procedures.


Required Qualifications:


Education


University degree in Business, Economics, Accounting and/or Financial Management or an acceptable equivalent combination of education and experience.

Experience

  • Minimum of five (5) years’ related and progressive leadership experience in administration and financial management in a University or similar environment.
  • Experience leading and managing a team of administrators.
  • Experience in team building and managing change.
  • Experience with budgeting, forecasting, and managing the annual operating budget.
  • Experience building and developing effective administrative systems and processes.
  • Demonstrated experience in liaising with senior administrators, responding to and handling matters of a complex and sensitive nature.
  • Experience working with and interpreting policies and procedures pertaining to budget, finance, human resources, academic administration.
  • Knowledge of labour, employment standards, health and safety, and sound management practice.
  • Experience supervising staff in a unionized environment.
  • Demonstrated knowledge of routine collective agreement interpretation and human resources policies and procedures.
  • Demonstrated experience and ability to use independent judgement and make decisions employing both tact and negotiation skills and ability to apply these skills for achieving resolution between team members.

Skills

  • Advanced people and leadership skills to manage a large team.
  • Advanced computer skills in MS Office including Excel, Word, Access, Outlook.
  • Demonstrated advanced experience with FIS, HRIS and RIS or acceptable equivalent systems is required.
  • Excellent administrative and analytical skills.
  • Strong and effective oral and written communication skills.
  • Excellent time management and organizational skills.

Other

  • Strong leadership including ability to foster confidence and motivation in staff and to develop cooperative, collegial working relationships with a broad range of University constituencies.
  • Thorough knowledge of University procedures and policies
  • Ability to work independently as well as a member of a team
  • Proven ability to set priories, handle a variety of tasks simultaneously, and meet deadlines.
  • Ability to manage proactively.
  • Demonstrated flexibility and adaptability within a changing environment.
  • Service-oriented and responsive to the needs of the Department and the Faculty.
