Job Description - Enrolment & Information Management Specialist

Status: Full Time Hours: Monday – Friday, 35 hours/week Home Campus: Fennell (hybrid work arrangements available) Rate of Pay: Payband H (Start Rate: $35.06 per hour) Posting Date: May 8th, 2024 Closing Date: May 14th, 2024 at 7:00 pm EST Preference will be given to qualified employees within the Full Time Support Staff bargaining unit, Appendix D (in the role for 6 consecutive months) and RPT employees who have passed probation at Mohawk College. The Enrolment & Information Management Specialist supports technical and daily operational aspects of data management, and data analytics for Mohawk International operations. This includes a number of international systems as they pertain to enrolment management and conversion and agent management, including the configuration and customization of system components, the functional operation of the software, providing training and supporting end users, and creating and maintaining end user documentation. This position also provides operational support and assistance to International for reporting and decision making based on data from Banner, COGNOS, OCAS IAS, Cohort Go, CRM, Access databases and their relevance to international applicant conversion and other department performance metrics. What You’ll Be Doing Data Management
  • Supports day-to-day operations of data management activities within Mohawk International, including answering staff inquiries, troubleshooting, resolving or reporting technical issues, coordinating data collected from various sources.
  • Supporting and advising on department technical system requirements and procurement, liaising with appropriate parties, including IT, Business Solutions, and the PMO.
  • Identification of new and emerging IT needs, research various new software applications to determine and recommend for best-fit, compatibility & functionality within given financial framework.
  • New hardware and software introduction and usage; contributing to the design and development of database security, integrity and backup systems; fileserver content management for the department coordinated through Information Technology.
  • Understanding of various platforms required to advise Mohawk International’s departmental leads. Ensures data process/procedures along with technical documentation are available for newly developed programs.
Documentation & Reporting
  • Under the direction from senior departmental staff, manipulates and inputs data from various college resources to inform college of trends appearing among clients/students.
  • In consultation with project coordinators and administrative users, reviews how data may be used to aid in servicing its respective clients/students. Writes and then determines the best means to disseminate the reports once prepared. Meets, informs, and offers solutions to research needs of the departments.
  • Works closely with department managers to identify potentially new data resources to inform the department in enrolment, retention and marketing strategies.
  • Consults and initiates, as needed, close communication with manager to assist in the preparation, manipulation, retrieval, compilation and analysis of data as required for various research projects.
  • Creates or generates regularly statistical reports as requested.
Supports Enrolment Process and International Applicant Funnel
  • Creating and managing wait lists for international seats to determine the next qualified applicant to be considered when space is available.
  • Working with international admissions staff on processes and strategic criteria to filter and order applications.
  • Creates and manages all technical aspects of international applicant funnel spreadsheets, including data population, advanced formulas and macros, flow-throughs to other teams’ spreadsheets, troubleshooting.
  • Calculates conversion rate forecasting by various factors.
  • Create, monitor, scenario modelling, analyze and report appropriate metrics and trends to inform and guide strategic and operational decisions related to the effectiveness of enrolment.
  • Segments and parses data sets for communication purposes.
Primary Support For Online Application System
  • Works with IT on implementation of new system, including compatibility with college systems (Banner), testing for reliability, data migration, application requirements, loading fees and program info.
  • Regularly updates system with new program info, application fields, and other content.
  • Reviews system updates and notifies staff if it impacts use.
Contributes to the Efficient Operations of the International Department
  • Manages departmental shared drive, including folder structure, file migration, permission levels, and security.
  • Works with Agent Coordinator in verifying and clarifying the accuracy of agents’ commission and forecasting payments.
  • Providing International Student Services staff with current statistical data on a regular basis at peak times to enable ISS to appropriately plan for students’ arrival and events.
  • Updating the Operations Manager and co-workers on current statistical data.
  • Preparing and updating departmental forms (application, refund, etc.).
Other duties as assigned. What You’ll Bring To The Role
  • A minimum of a three-year diploma in Computers, IT, Business, a similar field, or equivalent combination of education and experience.
  • Minimum of three years of practical experience with office information technology systems and software such as, student information systems, data visualization software, digital signage software, and CMS Content Management. Experience in a similar position within a multi-level environment is preferred.
  • Experience with word processing, database, and spreadsheet software applications (MS suite of programs, with a high level of expertise in Access structure, design, and maintenance).
  • Proficient in data analytics techniques. Strong quantitative, analytical, data intuition and problem-solving skills.
  • Banner experience is highly preferred.
  • Excellent knowledge of office information technology systems and web page development, complemented by strong prioritization, communication, interpersonal, organizational, and troubleshooting skills.
  • Able to analyze and model data with the goal of discovering useful information, suggesting conclusions, and supporting decision-making.
  • Demonstrated commitment and understanding of human rights, equity, diversity, inclusion, and accessibility.
  • The ability to communicate and work effectively with diverse students, employees, and communities.
