Location - Enterprise Square. This role is hybrid with a mix of remote and in-person.

Position

Reporting to the Manager, Advancement Records, the Information Management (IM) Lead is responsible for leading the design, implementation and execution of an information management program that supports the Office of Vice-President (External Relations) electronic document and records management (EDRM) strategy and operational needs. The incumbent will oversee the activities of staff assigned to manage physical and digital records, and monitor staff performance to ensure accuracy and efficiency.

The IM Lead will be the subject matter expert in records and information management and will provide advice, analysis and recommend solutions pertaining to information issues. The incumbent will also be responsible for designing strategies to enhance business performance and decision making through improved management and access to essential business information.

The IM Lead will also ensure that the program operates efficiently, effectively, and supports the Office of Vice-President (External Relation)'s mission. The incumbent will plan and organize information management projects and activities that support operational needs, and will appropriately allocate resources.

As the project lead, The incumbent will collaborate with internal and external business units, EDRMS technical support teams, the University Records Office, service providers and various other stakeholders to foster effective relationships and ensure External Relations RIM needs are met.

Duties

  • Creates a comprehensive information management program that complies with the University EDRM vision, industry standards and supports the Office of Advancement mission
  • Oversees the development of records and information management ( RIM) products and tools
  • Identifies emerging technologies and trends to manage records and information
  • Oversees all activities related to managing physical and digital records
  • Oversees and leads the planning and administration of electronic document and records management system (EDRMS) initiatives
  • Leads the implementation and management of a scanning/ imaging program that aligns with the university imaging program
  • Coordinates advancement project activities including but not limited to business analysis, change management, user training and ongoing system support
  • Provides recommendations for changes in business processes and/or procedures and implements opportunities for improvement for records and information management
  • Acts as the RIM Liaison with the University Records Office

Qualifications

In order to achieve the desired outcomes of the position, the successful candidate will possess the following experience, skills and abilities:

  • Master's Degree in Library and Information Studies, Archival Studies or Information Management strongly preferred; minimum Bachelor's degree; equivalent combination of education and experience will be considered
  • 2-5 years of information management and ECM technology experience
  • Comprehensive knowledge of records and information management and any associated policies, processes, procedures, standards, acts and legislation
  • Knowledge of data management is an asset
  • Knowledge of current and innovative records and information management trends and technologies, specifically EDRMS or records management software
  • Ability to manage resources and to lead and motivate others to maximize team performance
  • Excellent verbal and written communication skills
  • Ability to work in a changing environment with the ability to address complex problems and provide effective recommendations and solutions
  • Knowledge and experience in interpreting and applying FOIP
  • Familiarity with University of Alberta policies and procedures
  • Experience with Alfresco, Advance and PeopleSoft applications is an asset
  • Experience working in a fundraising environment is an asset
  • Must be physically able to do some heavy lifting up to 30 lb
