The Centre for Teaching and Learning (CTL) supports faculty and course instructors in their professional development as teachers, and provides consultations, resources and technology support to enhance learning in their courses and programs. CTL also enhances academic skill development both within and beyond courses through our English Language Development Support, Facilitated Study Groups, Mathematics and Statistics Learning Support, Experiential Learning, and Writing Support programs. Your opportunity: With exceptional customer service and a student-centered focus, you will provide operational, administrative and student services support for the Centre for Teaching and Learning and act as a front-line advisor and triage person. In this role, you will positively interact with students and other visitors in-person, via phone and via email to establish needs, respond to requests, provide academic support. In addition, you will make appropriate referrals to resources, programs and services offered by other UTSC departments and/or community partners; book student appointments; provide information about upcoming events/workshops; demonstrate procedures to students and inquiring faculty. In this role, you will foster a welcoming and professional environment for students and visitors, where confidentiality and privacy is maintained. The Integrated Student Support Coordinator will also recruit and train student staff; collaborate with outside partners within the UTSC community; work with CTL’s Communications Coordinator for outreach and promotion of CTL’s Student Supports; as well as play a key role as a member of CTL’s Student Support Committee. Reporting to the Manager, Finance and Administration, you will work as part of the administrative team and liaise with CTL’s Student Support Coordinators and CTL’s Manager, Educational Innovation and Academic Initiatives. Your responsibilities will include:

  • Overseeing day-to-day operational needs.
  • Coordinating the recruitment process and training of casual staff (e.g. post, hire, train, and supervise Work Study students for the CTL Resource centre front desk).
  • Coordinating staff schedule to ensure proper coverage.
  • Develop and maintain procedures.
  • Schedule appointments and create and update records.
  • Maintain filing system, generate reports and disseminate information.
  • Implement plans and process improvements for administrative workflow.
  • Write summary reports on programs and services.
Essential Qualifications:
  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • Minimum 5 years’ of related experience working in an administrative support role in a frontline advisor or triage-oriented role.
  • Experience supervising students and casual staff.
  • Proficient with Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Must have excellent customer service, organizational, interpersonal, problem-solving and team building skills.
  • Strong verbal and written communication skills are required, including creating and delivering presentations.
  • Experience working with a Student Information Database System.
  • Excellent attention to detail with a high degree of accuracy, sound judgement, adaptability and initiative.
  • Must be able to motivate others and be a positive team player.
  • Must have the desire to meet the needs of a diverse student population with empathy and support.
  • Must be able to remain calm and work under pressure despite interruptions and conflicting demands.
  • Demonstrated ability to de-escalate students in distress and provide the appropriate referrals.
  • Must show evidence of a commitment to equity, diversity, inclusion, and the promotion of a respectful and collegial learning and working environment.

USW Pay Band 11 -- $73,748 with an annual step progression to a maximum of $94,310. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
