POSITION SUMMARY
Reporting to the Director of Human Resources, the Human Resources Coordinator provides high level administrative support for the Human Resources Department, including assistance with Pension, Benefits and Disability Management administration
EDUCATION/EXPERIENCE
- Post-Secondary Certificate in a related program with emphasis on Human Resources and Benefits
- Certified Employee Benefits Specialist (CEBS) or working towards is an asset
- Experience working with HRIS Cloud based systems required, specific UKG experience is an asset
- Previous experience working in a local government, First Nation environment is considered an asset
- Experience working with Indigenous communities/people considered an asset
- Equivalent combination of education, training and experience may be considered.

- Criminal Record Check with results acceptable to WFN
- Maintains a high level of confidentiality and uses discretion on all matters relating to the affairs of the Westbank First Nation.
JOB DUTIES/RESPONSIBILTIES
- Benefits administration – enrollments, terminations, and changes in benefit status.
- Disability Management Administration – communication with staff, sending out employee/employer packages to staff and the insurer.
- Administers enrollment and ongoing admin for the Municipal Pension Plan for WFN staff and responds to ongoing benefit and pension queries from staff
- Maintains WFN Organizational Charts
- Supports Leave of Absence process – Short Term & Long-Term Disability, other Leave of Absences (maternity and paternity leave, compassionate care, cultural leave etc.)
- Prepares agendas and takes minutes to ensure accurate and effective information is captured during HR Meetings
- Performs data input and generates various reports from UKG software and/or databases as required
- Responds to employee enquiries concerning benefit eligibilities and external agencies as required
- Assists with the preparation of various reports like WorkSafeBC quarterly/ annual R reports, Benefit Carrier reports, Government statistical reports, MPP annual salary disclosures
- Assists, when required, with CINUP (benefits) reconciliation
- Monitors employee Health and Wellness reimbursements for annual reporting
- Assists Payroll in confirming Weekly Indemnity Disability hours including GRTW hours
- Files all correspondence, documents, and certifications related to Employee Personnel Files or as requested by the HR Manager & Advisors
- Resets passwords for UKG System
- Tracks Remote Work Agreements and administers the Remote work policy
- Takes the lead in gathering, tracking, and creating reports on HR Metrics for the purpose of quarterly and annual reporting
- Maintains the HR filing systems (electronic or hard copy) by archiving or coordinating the disposal of old files
- Provides tracking, filing, and support with WFN onboarding 30, 60, 90-day reviews, annual reviews, and annual increases as required
- Prepares and Conducts, and makes updates to the monthly new hire orientations
- Assists in the creation and maintenance of and maintains HR forms, manuals, and checklists relating to policy, recruitment and selection, performance management, employee change notifications
- Assists with maintenance of Manager/Employee Benefits Handbooks
- Performs all duties and responsibilities in accordance with the Westbank First Nation policies, standards, and procedures.
