We are a fast growing real estate team seeking an Executive Assistant for our co-owner and Team Lead Realtor and her clients to assist with the process of buying and selling of their homes as well as office tasks. The ideal candidate must have strong communication, delegation and personal skills. They must be incredibly organized, can see a path forward through a process and has an outgoing personality with a heart to help others succeed.

Since time is of the essence in Calgary's fast-paced real estate industry, persistence, proactiveness, as well as reactive skills will be required. We need someone who is attentive to details, self-sufficient/self-directed, has the ability to make independent decisions when required and has great communication skills.

We are not needing this person to have a real estate licnece, but someone who has a real estate licence here in Calgary and is wanting to focus more on the operations side vs the sales side would be a huge advantage.

Responsibilities include:

Working hand-in-hand with the Team Lead on day to day tasks, and helping clients. Primary duties include:

  • Responsible for seeing the tasks needed to be completed, planning out the day and the week and know what you need to complete as well as delegating tasks to other 2-3 administrative assistants who work for the Team Lead
  • Working directly with other agents on transactions after a property is conditional or sold to help move the sale to a firm transaction
  • Working with clients directly to help them with their purchases and/or sales
  • Calling, texting and emailing agents who have shown our properties to get feedback for our clients on their homes
  • Responding to and drafting emails (must have clear communication skills)
  • Researching, calling, and gathering information for clients to meet their needs
  • Prepping listings online for the Calgary Real Estate Board (CREB) 
  • Attending photo appointments (can involve lifting and moving of furniture)
  • Daily interaction and conversations with agents and clients 
  • Drafting offers, listing contracts, and other contracts
  • Booking showings for clients and coordinating with the Team Lead's busy schedule
  • Ordering and keeping track of Real Property Reports for listed homes 
  • Scheduling and creating projects, delegating to other admins and being accountable for meeting deadlines
  • Organization of current and future deals
  • Able to brainstorm and collaborate on ideas for social media posts and stories
  • Researching new builds in specific communities and talking to builders to attain more information
  • Ordering gifts for clients and staying on top of inventory
  • Maintenance of vacant properties 

Qualifications & Skills Required

The successful candidate must:

  • Current valid driver's license, a personal vehicle and confident driving skills
  • Great sense of direction and knowledge of Calgary and surrounding areas/ communities
  • Proficient with Google Workspace including Gmail, Calendar, Docs, Sheets and Forms
  • Proficient with Instagram and Facebook; able to post and build interactions
  • Knowledge and experience with online signing tools such as NexOne, Docusign or Authentisign
  • Prior experience with calendar management and meeting logistics is an asset
  • You have the ability to foster an environment in which customer service is upheld as the highest priority
  • As this role interacts with clients and other professionals on a daily basis the ideal candidate must be personable, a conversationalist and approachable
  • Strong organizational and planning skills to complete a high volume of work in a fast-paced setting
  • Success in this position requires effective communication skills, high level of accuracy, discretion and professionalism
  • You have the ability to assess requests and prioritize items that require immediate attention
  • Adept at learning and adapting to new technologies and processes
  • Flexibility to deal with regular interruptions and changes in routine
  • Practice 100% accountability
  • Able to follow through with tasks and finish until completion
  • Always seek to improve efficiency
  • Be passionate about the Chamberlain Real Estate Group, their clients, and community 

Travel:  While travel outside of Canada or Alberta is not required for this position, there is significant driving within Calgary and surrounding area in all types of weather. With this in mind, you must own a reliable vehicle.

Relocation : There is no relocation package for the position. 

Position Type : Permanent

Compensation : $20-$25 per hour with potential for bonuses in the future

Hours of Work : 40 hour work week

Location : 2803 Centre Street NW Calgary AB

Days of Work : This position typically works Monday to Friday but may require helping in evenings and weekends during peak sale and real estate times
