The Wallace McCain Institute (WMI) is an entrepreneurial institute within the University of New Brunswick. We deliver several entrepreneurial peer group programs for growth-stage entrepreneurs in Atlantic Canada. Over the past 15 years, we have had more than 550+ entrepreneurs, business owners, and senior executives participate in the program. The core programs are the Entrepreneurial Leaders Program (ELP), Strategic Executives Program (SEP) and Family Business Program (ECHO). The Alumni of the ELP businesses employ over 13,000+ employees, have over $1.86 Billion in revenue, and are all based in the region.

WHAT WE OFFER

Full-time | 1 year Term | Fredericton| Hybrid

Standard Work Hours: Mon - Fri | 8:15 am - 4:30 pm |36.25 hours per week

Additional Working Conditions:

Occasional evening and weekend work is required for some programs and special events.

Salary Range: $50,412 - $65,523 per annum

YOUR FOCUS

Reporting to the CEO of WMI, the Office & Program Manager works with team members and external moderators to ensure the successful implementation of programs and operations. They will work with team members to ensure program recruitment and delivery deadlines are maintained, budgets are on track and administration support is provided for WMI Programs.

PROGRAM & EVENT MANAGEMENT

  • Play a pivotal role in supporting CEO, Program Moderators, and Speakers by orchestrating core program delivery's administration and logistical intricacies, including the Entrepreneurial Leaders Program, Strategic Executives Program, and Family Business Program.
  • Coordinate workshops and events for Alumni and the broader business community aligning with core strategy.
  • Serve as the strategic linchpin between moderator teams, external partners, speakers, services, and stakeholders, fostering collaborative synergy and facilitating decisive action.
  • Drive the development and maintenance of dynamic program promotional and recruitment strategies, embodying a forward-thinking approach to excellence and innovation.
  • Spearhead the project planning, organization, and execution of key events, including annual gatherings, alumni reunions, and recruitment functions, showcasing unwavering commitment to strategic vision.
  • Implement proactive management of registration processes, attendee communication, and collection of participant feedback, ensuring informed decision-making and elevated participant experiences.
  • Design and implement systems for information processing and tracking as required.
  • Assist in funding report writing: This would include exposure to project deliverables and closing documents for engagements/funding partners.
  • Contribute decisively to funding report writing, leveraging a nuanced understanding of project deliverables and strategic engagement with funding partners.
  • Cultivate and maintain a robust service provider and speaker network for program delivery and Alumni Forums, ensuring strategic alignment and impactful decision-making.
  • Assisting in marketing & communications initiatives, E.g. Social Media, Events, Blog posts, online advertisements, content marketing & promotional items.
  • Undertake strategic initiatives and special projects as directed by the CEO, demonstrating agility and proactive leadership in addressing organizational imperatives.

PROJECT MANAGEMENT & SUPPORT

  • Maintain and update operational calendars and program resources for program participants and alumni with precision and diligence.
  • Execute meticulous management of databases, guaranteeing the utmost accuracy and completeness of information.
  • Spearheaded coordinating and supporting various programs and events, demonstrating adeptness in scheduling, logistics, and communication.
  • Collaborate with the CEO to track strategic priorities, meticulously monitor activity progress, and ensure adherence to essential dates.
  • Develop and maintain the service provider and speaker database for program delivery & Alumni Forums.
  • Exercise comprehensive oversight in coordinating and preparing schedules, itineraries, and meeting materials for the CEO's WMI-related travel and meetings.
  • Provide unwavering support to the CEO by meticulously tracking expenses, processing reimbursements, and proficiently handling other financial tasks.
  • Facilitate the CEO's efforts with preparing board materials, ensuring clarity and effectiveness in communication.

WHAT YOU BRING

  • Post-secondary Diploma in Business Administration
  • Minimum five years of related experience in office management, budgets, and records management responsibilities.
  • Minimum 3 years of program management, event management and/or project management experience.
  • Ability to travel.
