Job Description - HR and Office Management Specialist

ABOUT THE ROLE

Position Overview: We are seeking a dynamic and detail-oriented HR and Office Management Specialist to join our team. Reporting directly to the HR Director of North America, this role is crucial in ensuring smooth HR administration, benefits management, and efficient office operations in both our Montreal and Toronto locations. The ideal candidate will be bilingual in French and English and have experience with key HR and office management tools.

KEY RESPONSIBILITIES

HR Administration:

  • Manage employee records and ensure compliance with company policies.
  • Assist with employee onboarding and off-boarding processes.
  • Maintain and update HR systems (BambooHR, Nethris, Teamtailor).

Benefits Administration:

  • Administer employee benefits programs including health insurance, retirement plans, and wellness programs.
  • Serve as a point of contact for employee benefits inquiries.

HR Culture Committee Participation:

  • Actively participate in the HR culture committee to foster a positive and inclusive workplace culture.
  • Collaborate with team members to develop and implement culture-enhancing activities.

Implementation of HR and Wellness Best Practices:

  • Develop and implement HR policies and procedures.
  • Promote wellness initiatives and programs to enhance employee well-being.

Employee Onboarding and Off-boarding:

  • Facilitate smooth onboarding processes for new hires.
  • Coordinate exit procedures for departing employees.

Internal Event Organization and Coordination:

  • Plan and execute internal events, team-building activities, and company celebrations.
  • Coordinate logistics and communication for HR and culture committee initiatives.

Office Management:

  • Oversee office operations in Montreal (in person) and Toronto (remotely).
  • Coordinate with cleaning services, manage snack and equipment orders, and ensure office supplies are stocked.
  • Ensure a safe, clean, and welcoming office environment.

REQUIREMENTS

  • Bilingual: Fluency in French and English, both written and spoken.
  • Experience with HR Tools: Proficiency in BambooHR, Nethris, Mintz (Background Check), Microsoft Teams, SharePoint, Docusign, and Teamtailor.
  • HR Knowledge: Strong understanding of HR best practices and employment laws.
  • Organizational Skills: Excellent organizational and time management skills.
  • Communication Skills: Strong interpersonal and communication skills.
  • Detail-Oriented: High attention to detail and accuracy.
  • Problem-Solving: Ability to handle multiple tasks and resolve issues efficiently.

Preferred Qualifications:

  • 2-3 years Previous experience in a similar HR and office management role.
  • Ability to work independently and as part of a team.
  • Experience working in a fast-paced, dynamic environment.
