Position Number: 00045613 : About us: The Department of Mechanical & Industrial Engineering is home to about 60 professors leading research on a very broad range of topics. On the Industrial Engineering side, research areas include Operations Research, Information Engineering, Human Factors, and Applied Machine Learning, all of which seek to improve the systems we as humans rely on to navigate our world. On the Mechanical Engineering side, research areas include Robotics, Mechanics & Design, Materials, and Thermofluids, topics that are applied to applications including manufacturing, energy production, and bioengineering. We are also home to about 2,000 very talented students: about 1,300 undergraduates are enrolled in the Industrial Engineering and in the Mechanical Engineering BASc programs. We have about 350 Master of Engineering (MEng) students, a professional program for students taking courses with us for a year or two. And we have about 350 MASc and PhD candidates, who work individually on research projects with a particular professor. Under general supervision of the Director of Administration and Finance, the incumbent is responsible for several aspects of Finance and Payroll including but not limited to analyzing, troubleshooting, reconciling, and ensuring accuracy and completeness, as well as applying policies and procedures established by the University of Toronto and or sponsors. Your responsibilities will include:

  • Analyzing actual expenditures in comparison to budget and preparing reports for financial planning and funding terms compliance.
  • Verifying the accuracy and completeness of documents and tasks, processing expense reimbursements.
  • Preparing budget variance reports and collecting audit information.
  • Directing the activities of a group of staff-appointed employees all performing a similar function.
  • Verifying that HRIS transactions are processed according to applicable policies, procedures, collective agreements, and applicable legislated requirements.
  • Monitoring, recording, reconciling and/or reporting on funding accounts for research agreements.
  • Processing accounts receivable according to the University Guide to Financial Management.
  • Advising staff on accounting practices and University financial policies and procedures.
Essential Qualifications:
  • Bachelor’s Degree in Business or Commerce or acceptable combination of equivalent experience.
  • Minimum five years of relevant financial accounting experience in an accounting position.
  • Relevant experience in budgeting and analysis (i.e. analyzing complex statistical reports and/or financial information for management decision-making, processing financial and payroll transactions, generating financial reports from a financial system, reconciling financial information, and process improvement).
  • Experience preparing financial statement or fund accounting.
  • Experience examining and analyzing financial records to ensure accuracy and compliance with established accounting standards and procedures.
  • Experience correcting / troubleshooting financial queries and issues.
  • Advanced knowledge of the University’s Human Resources Information System (HRIS), Financial Information System (FIS), Logistics and Research Information System (RIS) and/or other related financial and payroll systems.
  • Experience processing information on the HRIS for academic faculty and staff.
  • Experience with reconciliation/ recoveries, paypal and credit card transactions for internal and external sales.
  • Experience processing Graduate fellowship awards using ROSI.
  • Strong written and oral communications skills with ability to communicate to both non-financial and financial individuals at varying levels within the University.
  • Advanced level of Excel spreadsheet skills with demonstrated attention to detail.
  • Strong proficiency with Microsoft Office software, particularly with Microsoft Excel and Word.
  • Demonstrated ability to accurately analyze financial information (Budget and actual).
  • Ability to think analytically, solve problems and make decisions.
  • Ability to work under pressure as well as manage workload and a team to meet deadlines.
  • Able to be patient and provide excellent customer service when dealing with students, staff and academics.
  • Very good time management skills with the ability to prioritize and bring the appropriate sense of urgency to situations.
  • Ability to exercise initiative, tact, good judgment, and confidentiality.

Pay Scale Group & Hiring Zone:
USW Pay Band 14 -- $88,290 with an annual step progression to a maximum of $112,911. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
