Job Description - U School Program Lead

Working for the Department U School is a program of the University of Alberta Senate that inspires students from socially vulnerable, Aboriginal (FNMI) and rural communities to discover the world of post-secondary education. Engaging in a week-long site-based immersive education experience, students in grades 3 to 9 see their classroom lessons come alive at the U of A. Experts from the campus community share their own educational journeys and lead hands-on sessions that tie back to the Alberta curriculum. U School participants are inspired to begin exploring new opportunities as they meet University of Alberta students, faculty, staff, alumni, volunteers and senators. Position The U School Program Lead is responsible for the development, implementation, marketing and evaluation of U School. They lead overall programming and curriculum fit for participating classes and are the key contact for U School participants, teachers and administrators, sponsors, program volunteers and U School Classroom Facilitators. The U School Program Lead also supervises two U School Classroom Facilitators. This position must possess an understanding of the support and engagement of volunteer ambassadors and advocates. This position also engages the advice and support of Senate’s U School Committee. This position must develop an understanding of Senate’s membership and mandate, regularly attending Senate plenary sessions and committee meetings to develop U School’s profile and program connections. Duties U School Program Curriculum Development and Teaching

  • Work with participating teachers to design U School site visit program and curriculum based on teacher, school and class needs.
  • Provide guidance and instruction to U School students as needed and as supported by the classroom teacher.
  • Ensure ongoing development and operation of the U School program to meet the needs of participating classes.
  • Lead program promotion, operation, evaluation and outcomes.
  • Maintain contact with participating teachers to increase awareness of other program offerings and curriculum- related opportunities.
  • Support presenters with lesson plan preparation (if required) and adaptation of the curriculum content to age appropriate student levels between grades 3 to 9.
U School Leadership and Administration
  • Responsible for program design and calendar, administration, curriculum fit, promotion, volunteer recruitment and planning for classroom leadership
  • Provide leadership to the U School team and as needed serve as a Classroom Facilitator
  • Promote U School on and off campus; deliver presentations to various stakeholders including potential campus community volunteers, sponsors, teacher associations, school boards, school administrators, etc.; communicate with other campus outreach programs and other Inquiring Minds site-based programs in Edmonton
  • Develop and maintain a wide range of relationships within the University of Alberta community, including current and potential course instructors, presenters, mentors, interviewees, and administrative staff across campus to raise awareness of the program, to provide new teaching and learning opportunities, and to effectively administer the program
  • Organize venues, book space, arrange ETS transportation, arrange catering, conduct risk assessment and purchase U School materials and supplies
Volunteer Management
  • Recruit, orient, and support U School volunteers as classroom presenters, mentors and interviewees
  • Ensure the operation of high-performing volunteers via the provision of appropriate training and regular communication
  • Develop and implement an annual plan for the recruitment and retention of volunteers and support the Classroom Facilitators in all other aspects of the plan as needed
  • Build and manage ongoing relationships with current and potential volunteers
  • Develop and maintain a program for volunteer orientation, support and recognition
Sponsor and Donor Relationships
  • In collaboration with the Senate Director and University Development colleagues, and with the support of the U School Committee, develop, support and enhance relationships with U School sponsors and donors
  • Develop and lead presentations to potential U School funders
  • Connect sponsors with U School volunteers and participants when appropriate
  • Follow up on all sponsorship commitments and reports, working in partnership with Development colleagues
Communications
  • Lead program promotion and recommend/implement communications strategies for U School to increase program awareness and participation in key communities
  • Produce U School Annual Report including graphic design, layout, collecting and editing content
  • Produce, update, and distribute all publicly available U School materials, ensuring consistency with U School program messaging (e.g.: annual report, flyers, brochures, guidebooks, application forms, and resource materials for students, instructors, and community partners)
Program Facilitation
  • Develop U School program calendars for each class site visit based on program application, Alberta curriculum and student needs in consultation with participating teachers
  • Facilitate one to three week-long U School class site visits each term
  • Support two Classroom Facilitators and as needed on an interim or substitute basis facilitate U School classes
  • Build relationships with visiting classroom teachers and facilitate U School-related school planning during the program year
  • Act as a program ambassador raising awareness and support of the program
Supervision
  • Directly supervises two NASA staff (U School Classroom Facilitators)
  • Gives candid feedback to staff, consistently recognizes performance but also effectively identifies and coaches performance issues
  • Accurately identifies competency requirements for staff and assesses individual strengths and challenges
Administration
  • Manage program administration including all planning, logistics, and implementation of the complete U School experience, including on-site class visits, off-campus pre-visits, and U School convocation and ceremonies
  • Work with the Classroom Facilitators on all logistics and risk assessments, including on-site class visits, certificate ceremonies, and off campus activities visits
  • Implement and update U School strategic plan in consultation with Senate Director and U School Committee
  • Invite and host senior officials as needed at various special event activities (Chancellor, President, Provost, Board Chair, Deans, School Board Representatives, sponsors, donors, or special visitors, etc.)
  • Ensure all applicable policies and procedures are followed, and consult with all relevant departments on an ongoing basis to ensure effective program administration, clear financial reporting and the safety of the students at all times
  • Distribute and manage all FOIP documents and other waivers for participating classes, students and volunteers with the assistance of the Classroom Facilitators
Minimum Qualifications
  • Post-secondary degree, preferably in education.
  • Excellent writing and editing skills.
  • Excellent interpersonal skills.
  • Excellent organizational, written and oral communication skills suitable for diverse communities.
  • Demonstrated competencies in the areas of professionalism, results orientation, organization understanding, teamwork, flexibility/ adaptability.
  • Excellent computer skills, including expertise with volunteer scheduling, Google applications and Microsoft Office applications (Word, Excel, PowerPoint, Internet browsers)
Preferred Qualifications
  • Three years of related experience in classroom instruction or educational programming for students in grades 3-9.
  • Experience working with diverse student populations in socially vulnerable, Indigenous and/or rural communities.
  • Experience supporting volunteers and volunteer committees, including familiarity with the principles of volunteer management.
  • Experience in event planning and coordination.
  • Knowledge of University of Alberta North campus.
