Job Description - Functional Business Analyst

POSITION OVERVIEW:

Startec Corporate Services is currently recruiting for an Functional Business Analyst to work at our Shepard office location (9423 Shepard Road SE. Calgary, Alberta T2C 4R6) .  The Functional Business Analyst is a blend of gathering requirement and the configuration of systems. This role is responsible for bridging the gap between business needs and technology solutions. Reporting to the Business Systems Manager, the Functional Business Analyst will play a key role in gathering and documenting detailed business requirements and configure the systems to achieve the desired business functionality. This role requires a analytical approach, communication skills, and a deep understanding of both business processes and technology, enabling the translation of business needs into actional requirements that drive innovation and efficiency within Startec.

KEY PERFORMANCE INDICATORS (KPI):

BUSINESS REQUIREMENT ANALAYSIS & DOCUMENTATION (Weighting 40%)

Requirements Gathering

  • Engage closely with business stakeholders to collaboratively gather detailed requirements for software and system enhancements. 
  • Employ various techniques such as workshops, interviews, and surveys to comprehend business processes and user needs. 
  • Delve into business operations to gain a deep understanding of how processes, functions, and systems interact. 
  • Identify pain points, inefficiencies, and opportunities for improvement through requirements analysis. 

Requirement Documentation

  • Transform business needs into comprehensive and well-structured documentation, including business requirement documents, user stories, and use cases. 
  • Capture the essence of user requirements, functionalities, and system behavior in a clear and concise manner. 
  • Utilize process flow diagrams and data models to visually convey complex requirements, enhancing stakeholders' understanding. 
  • Create diagrams that depict process flows, data relationships, and system interactions. 

Requirement Validation

  • Collaborate with stakeholders to validate gathered requirements, ensuring they accurately reflect business needs. 
  • Seek feedback to confirm clarity, precision, and alignment with overarching business objectives. 
  • Identify and address any discrepancies or ambiguities in requirements through proactive communication and facilitation. 
  • Work with stakeholders to resolve conflicts and ensure consistent understanding. 

Change Management

  • Assess the potential impact of proposed changes on existing business processes, systems, and stakeholders. 
  • Analyze the implications of changes on operational efficiency and user experience. 
  • Partner with stakeholders to develop comprehensive change management strategies and plans. 
  • Define strategies for communication, training, and transitioning to new processes or systems. 

SOLUTION DESIGN & VALIDATION (Weighting 30%)

Solution Definition & Proposal

  • Design solutions within Dynamics 365 and implement the configurations.
  • Understand and analyze business requirements to ensure alignment between business needs and technical capabilities.  
  • Ensure proposed solutions adhere to existing systems, architectural guidelines, and technology standards.  
  • Consider scalability, security, performance, and integration requirements during solution design.  

Functional Specifications

  • Develop detailed functional specifications that outline the intended behavior of the software solution. 
  • Clearly define system features, user interfaces, data flows, and interaction processes. 
  • Craft specifications that provide clear and unambiguous guidance to developers, testers, and other stakeholders. 
  • Specify user requirements, system responses, error handling, and input validations. 

Prototyping & Mockups

  • Create interactive prototypes and mock-ups to visually illustrate the intended functionality and user experience.  
  • Use tools to design wireframes, user interfaces, and process flows.  
  • Share prototypes with stakeholders to gather feedback and ensure alignment with their expectations.  
  • Iterate on designs based on feedback received to improve the final solution.  

USER ACCEPTANCE TESTING (UAT) & QUALITY ASSURANCE (Weighting 20%)

User Acceptance Testing (UAT) Plan

  • Create comprehensive User Acceptance Testing (UAT) plans outlining testing scope, objectives, and strategies.  
  • Define criteria for successful UAT completion and exit criteria.  
  • Develop detailed UAT test cases and scenarios aligned with business requirements and user expectations.  
  • Ensure test cases cover various user interactions and scenarios.  
  • Engage with business users to validate UAT test cases, ensuring they accurately represent real-world scenarios.  
  • Incorporate feedback from business users to refine test cases as needed  

Test Execution

  • Coordinate UAT sessions with business users, ensuring availability and participation.  
  • Schedule testing activities and allocate resources effectively.  
  • Execute UAT test cases to validate that the implemented solution meets specified business requirements.  
  • Verify the system's functionality, user interfaces, and overall user experience.  
  • Document defects, discrepancies, and deviations from expected behavior.  
  • Collaborate with development teams to provide detailed defect reports and facilitate timely resolutions.  

Quality Assurance

  • Collaborate closely with Quality Assurance (QA) teams to ensure seamless integration of UAT with overall testing phases.  
  • Contribute to end-to-end testing efforts to ensure the system's overall quality and functionality.  
  • Address any functional discrepancies discovered during UAT or QA testing.  
  • Work with development teams to troubleshoot, analyze, and resolve issues promptly.  
  • Maintain comprehensive documentation of UAT test cases, execution results, defects, and resolutions.  
  • Create reports summarizing UAT outcomes, highlighting successes, challenges, and areas for improvement.  

COMMUNICATION & STAKEHOLDER MANAGEMENT (Weighting 10%)

Stakeholder Communication

  • Establish clear lines of communication with business stakeholders, technical teams, and project managers.  
  • Convey information in a concise, accurate, and understandable manner, fostering collaboration and understanding.  
  • Provide timely and regular updates on requirements gathering, design progress, and overall project status.  
  • Ensure stakeholders are informed about milestones, challenges, and potential impacts on timelines.  
  • Facilitate discussions to ensure alignment on which requirements deliver the highest business value.  
  • Contribute to managing project scope by helping to differentiate critical requirements from optional ones.  

Training & Support

  • Offer training sessions to end-users, ensuring they are equipped to effectively use new systems, features, and functionalities.  
  • Address questions and provide guidance on using the system to optimize productivity  
  • Act as a point of contact for end-users, addressing inquiries and issues related to system usage and capabilities.  
  • Troubleshoot problems and provide solutions or escalate issues to the appropriate teams as needed.  

QUALIFICATIONS:

  • Bachelor's degree in Business Administration, Information Technology, or related field.  
  • Proven experience as a Business Analyst or Functional Analyst in software development projects.  
  • Strong analytical skills and ability to translate business requirements into technical solutions.  
  • Proficiency in requirements gathering techniques, process modeling, and user-centered design principles.  
  • Excellent communication and interpersonal skills to effectively collaborate with diverse stakeholders.  
  • Familiarity with UAT processes, quality assurance, and project management methodologies.  
  • Ability to work independently and as part of cross-functional teams in a fast-paced environment .
