Job Description



As the Manager, Corporate Travel & Expense Management , you will report directly to the Director, Finance Shared Services and will be part of AIM’s Finance Shared Services Centre (FSSC) at our head office in Montréal, Canada.

Your main responsibilities will be to manage AIM’s travel & expense reporting activities, ensuring compliance, and recommending changes to the AIM Travel & Expense Policy and Corporate Credit Card Policy.

In this role, you will manage the Corporate Travel and Expense Management function and represent this function in meetings with other departments or on projects.

Corporate Travel

  • Manage, directly or indirectly through partner agencies, all travel arrangements (air, lodging, car rental etc.)
  • Manage relationships with travel agencies and vendors.
  • Negotiate contracts or rates with travel service providers.
  • Manage and process travel-related documentation, including payments, itineraries, visas, medical, legal forms, insurance, import/export regulations etc.
  • Coordinate with AIM Aviation Division to support executive travel needs and maximize cost savings by leveraging the company’s air fleet.
  • Directly manage travel plans for AIM executives and coordinate itineraries and planning group and corporate event travel.
  • Assist with any travel-related issues that may arise within established SLA’s.

Expense Reporting

  • Ensure timely & accurate processing & reimbursement of employee expense reports.
  • Act as program administrator for all travel & expense reporting systems & processes.
  • Prepare and analyze monthly travel and expense reporting.
  • Manage AIM’s Corporate Credit Card Program, performing due diligence on the issuance of new cards and ensuring policy compliance by existing cardholders.

Supervision & Management

  • Supervise team of 1 to 2 Analysts/Agents.
  • Provide coaching, development, and performance reviews with your staff.
  • Act as an escalation on matters for your team.
  • Identify process improvement opportunities and initiate plan and implementation.
  • Develop and maintain training and SOP documentation.

Qualifications

  • A minimum of 5 years of experience in either leisure or corporate travel management, including after hours / emergency travel team
  • Knowledge of international travel regulations, customs, and currencies.
  • Training in travel, tourism, and hospitality is a plus.
  • Knowledge of Travel Expense reporting and processing tools. Knowledge of SAP Concur is a plus.
  • Working knowledge of MS Office and similar solutions.
  • GDS experience in Sabre with exposure to Travelport and Amadeus
  • Customer service focused.
  • Exceptional business sense and negotiation skills
  • Excellent interpersonal and communication skills in both English and French.
  • Strong analytical and problem-solving skills, and a structured mindset.
  • Strong ownership of work, result-driven and high standards to work efficiently and deliver high sustainable value in a fast-paced, demanding environment.
