Job Overview:We are seeking a detail-oriented Administrative/Marketing Assistant to join our team. The ideal candidate will provide administrative/marketing support and ensure efficient operation of the office.
Office Management:
- Maintain and organize office files, records, and documents.
- Work closely with other departments to ensure smooth operations.
- Collaborate with the marketing team for promotional activities.
- Manage office supplies and place orders as needed.
- Answer phone calls, take messages, and handle general inquiries.
Scheduling and Reservations:
- Coordinate appointment and schedules for clients.
- Manage the appointment's reservation system.
- Communicate with cleints.
Communication:
- Draft and send emails, memos, and other correspondence as needed.
- Handle client feedback and pass relevant information to the management.
- Assist in planning and coordinating special meetings.
Record Keeping:
- Maintain records of applications, files and other data.
Assistance to Management:
- Provide administrative support to the Business Development manager and other senior staff.
- Help with the preparation of files and applications.
Customer Service:
- Greet customers and assist with any inquiries or concerns.
Expected hours: 35-40 per week
Schedule:
- Monday to Friday
- Weekends not needed
Experience:
- At least 6 months experience with an Immigration firm & Social Media Handler (required)
