Job Description - Event Assistant Summer Student

The Opportunity

The Summer Student Event Assistant will support the Events & Entertainment Team in delivering exceptional customer service and supporting in the execution of major municipally hosted community events from May to September. This position will support the Events & Entertainment team in effectively enhancing the quality of life for residents. They will also support the Event Specialist with logistics leading up to event days, ensuring the venue is ready to welcome guests, artists, and vendors.

This position will support events by performing administrative tasks and liaising with various internal departments and external service providers under the guidance of the Event Specialist. This position assists with inter and intra-departmental communication as it relates to summer events. The Summer Student Event Assistant assists with the event permitting process for internal departments and external groups, supporting applicants and vendors as needed.

Responsibilities

  • Support the administrative component, planning and execution of events.
  • Recruit participants, vendors, and community groups.
  • Assist with managing vendor relations.
  • Support the coordination event logistics.
  • Prep venue/site before events, including guest wayfinding signage, vendor information and wayfinding, and setup.
  • Liaise with internal departments, as well as vendors to coordinate event setups and take downs.
  • Provide leadership by acting as primary contact, under the guidance of the Event Specialist responsible for major community events, for Canada Day Parade participants, including general inquiries and day of event.
  • Support the City of GP event permitting process, under the direction of the Event Specialist responsible for event permitting, working with community groups to ensure all regulatory body requirements are met and necessary approvals are obtained.
  • Engage and collaborate and consult with multiple departments during the event permitting process, included but not limited to: Engineering, Inspections, Transportation, Parks, Fire, Business Licensing, Enforcement Services, SDWC, CKC, Health and Safety.
  • Assist with creating and implementing family events and activities.
  • Willingness and ability to adapt role based on event dynamics, at the discretion of the Event Specialist.
  • Hold an exemplary level of confidentiality and professionalism.

You Bring

  • Knowledge and experience working with community partners and/or events.
  • Proficiency in Microsoft Office.
  • Pursuing a post-secondary education in Recreation, the Arts, Marketing, or a related field.
  • The ability to present yourself in a positive and professional manner using clear communication both verbal and written.
  • Be self-motivated, flexible and able to organize your work to maintain tasks within established standards and timelines.
  • The ability to work well both independently and within a team.
  • The confidence to make on the spot decisions and problem solve.
  • Commitment & desire to fulfill this term position and a busy summer schedule including all Statutory Holidays, evenings and weekends as required.
  • A creative and enthusiastic personality, with exceptional customer service.
  • Standard First-Aid, CPR level C and AED.
  • Valid Class 5 Driver's license and transportation.

Hours

The standard workweek consists of an average of 35 hours, with the specific schedule being determined by the immediate supervisor. Must be available for July 1st and August 1st.

Compensation

Starting Salary $21.84 per hour as per the Out-of-Scope Agreement (A Band, Entry Step).
