Overview: We are seeking a dynamic and highly organized Executive Assistant with a background in project management and marketing to provide comprehensive support to our executive team. The ideal candidate will possess exceptional multitasking abilities, excellent communication skills, and a strong understanding of project management principles. This role requires a proactive individual who can anticipate needs, manage competing priorities, and collaborate effectively across departments.

Responsibilities:

Executive Support:

  • Provide high-level administrative support to executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Prepare and edit correspondence, presentations, and reports for executive review.
  • Act as a liaison between executives and internal/external stakeholders, ensuring timely and accurate communication.

Project Management:

  • Oversee various projects from inception to completion, ensuring adherence to deadlines and budgets.
  • Develop project plans, timelines, and milestones, and track progress using project management tools.
  • Coordinate with cross-functional teams to allocate resources, resolve issues, and drive project success.

Administrative Support:

  • Manage administrative tasks such as expense reporting, invoice processing, and office supply management.
  • Handle sensitive and confidential information with discretion and professionalism.
  • Proactively identify opportunities to streamline processes and improve efficiency within the organization.

Ideal Profile

  • You have at least 1 year experience within a Executive Assistant / Virtual Assistant role, ideally within the Luxury industry.
  • Knows how anticipate the need of the Executives
  • You are organised and have good interpersonal skills.
  • You can work with minimal supervision and multi-task effectively.
  • Proficient in using Project Mgt Tools (Asana, Clickup, Notion)
  • You pay strong attention to detail and deliver work that is of a high standard
  • You possess strong analytical skills and are comfortable dealing with numerical data
  • You are a strong team player who can manage multiple stakeholders
