Job Description - Funding Supervisor, Montreal, QC/ Hamilton, ON

Purpose

The Funding Supervisor supervises and controls a funding unit for a specific area or function within the Bank, specifically, in a Dealer Finance Centre. He/she is responsible for meeting negotiated goals which include customer and employee satisfaction goals, human resource management and operational effectiveness objectives. He/she provides leadership and guidance to a team of funding staff in a manner consistent with the overall Domestic Bank strategy of developing and leading a customer-focused culture while achieving business line revenue and ROEE objectives. This includes a primary responsibility for leading, managing, coaching and training others by focusing on Customer Service disciplines.

Accountabilities

  • Ensure the provision of a high level of funding support by:
  • Assessing the complexity of assignments and assigning to the appropriate skill level within the unit;
  • Monitoring and authorizing transactions prepared by others;
  • Ensuring scheduled assignments meet critical processing / reporting deadlines;
  • Following specific disciplines relative to the business unit, e.g. legislative / compliance / regulatory requirements;
  • Ensuring compliance to AML (Anti-Money Laundering) and KYC (Know Your Customer) policy;
  • Ensuring adherence to Information, Security and Policy Privacy Requirements.
  • Occupational Health & Safety Officer as assigned.

Ensure records are maintained and monitored to identify / action unusual situations or irregular activity, in accordance with standard practices and established departmental / unit procedures by:

  • Ensuring regular procedures are performed and statements produced as required;
  • Analyzing and reviewing overall data / trends / information from various sources, conducting reasonability tests;
  • Investigating causes, identifying issues, resolving within own authority levels, and recommending proposed corrective action;
  • Performing periodic reviews and following-up on unusual / irregular situations;
  • Investigating discrepancies;
  • Taking corrective action by resolving issues / discrepancies and/or escalating as appropriate;
  • Daily monitoring of Scotia Direct.

Develop annual plans by:

  • Researching, analysing, trending historical results;
  • Projecting and supporting future trends;
  • Preparing reports and plans outlining findings.

Ensure daily processing of work is completed according to procedures and practices by:

  • Confirming that work is checked and prepared, and reviewing/assessing status; (writing up of deals)
  • Conducting periodic verification of material and reports;
  • Monitoring and following up unusual / unauthorized items and escalating / coordinating resolutions as required;

Satisfying all exception conditions:

  • Responding to requests for information / clarification and providing explanations and rationales for all aspects of work;
  • Daily registration of CSC;
  • AML Compliance Back-up;
  • Member of BCP.

Manage and develop subordinate staff by:

  • Ensuring staff performance meets expectations by coaching, providing training and appropriate tools;
  • Assisting in developing performance objectives and ensuring these are clearly communicated to staff;
  • Recruiting, interviewing and selecting candidates to fill vacancies, and ensuring the most qualified candidates are selected and employment equity objectives are considered in the recruitment process;
  • Assessing individual performance / preparing and conducting performance appraisals / providing feedback to enhance career development;
  • Recommending training courses / seminars where appropriate;
  • Motivating staff to achieve a high level of performance and productivity;
  • Evaluating performance for promotion, staff planning and salary administration purposes.

Provide explanation and rationale for all aspects and/or the work in scope escalated by staff by:

  • Reviewing documentation supporting decisions;
  • Responding to requests for information / clarification.

Assists with Human Resource Management functions for the Funding Department by:

  • Ensuring employee files are completed as assigned;
  • Performing orientation for new employees.

Competencies:

  • Excellent communication and interpersonal skills to deal effectively with subordinates and to liaise with other areas of the Bank;
  • Excellent organizational skills;
  • Strong knowledge of legislative, governance or regulatory rules, Anti-Money Laundering/Anti-Terrorist guidelines;
  • Thorough knowledge of the operational guidelines / practices in the division and how it aligns with overall Bank processes / procedures;
  • Thorough proficiency in automated systems and software packages relevant to a DFC;
  • Lotus Notes and Microsoft Office;
  • Backup LLA, dealing with all aspects;
  • Complete returns as assigned.
