Admin & Operations Coordinator Location Cannington, ON : About us The Nourish and Develop Foundation (TNDF) is a non-profit located out of Cannington, Ontario on a mission to connect people to nourishing food and supportive resources, empowering the community to come together to develop lasting change. Rooted in curiosity, connection, advocacy, responsiveness, and equity, we are a multi-service agency with two pivotal branches—food services and social services. Position Summary The Admin & Operations Coordinator will work closely with, and under the supervision of, the Executive Director to provide administrative and operational support to the organization. This role involves coordinating day-to-day administrative tasks, overseeing office logistics, and keeping our facilities safe and clean to ensure the smooth execution of services, programs, and events. The ideal candidate will have a strong ability to work independently and collaboratively, demonstrate resourcefulness, and take initiative in identifying and addressing organizational needs.   • Hours and Location This is a full-time (37.5 hours/week), permanent position. Standard office hours are Monday - Friday from 9:00 AM - 4:00 PM, however evening and/or weekend shifts may be required for this role, with advance notice given. There is no remote work or hybrid work option available for this position. This position is based in Cannington ON. Tasks and Duties Operations
    • Monitor and manage site and equipment maintenance needs, including scheduling repairs and liaising with contractors for services such as cleaning, grass cutting, and snow removal.
    • Ensure a welcoming, clean, and safe environment for TNDF staff, volunteers, and other guests by performing cleaning activities (e.g., wiping surfaces, disposing of garbage, doing laundry, etc.) at Nourish House and Nourish Hub.
    • Support Social Services staff with deep cleans of transitional housing units as needed.
    • Care for indoor plants at Nourish House and Nourish Hub.
    • Keep TNDF assets (e.g., keys, laptops, etc.) secure and well organized, and keep accurate records of all TNDF assets.
    • Provide basic IT support to team members and arrange for professional IT support as needed.
    • Oversee the use of and changes to our facilities, including coordinating renovations, rearranging layouts, and managing the selling, donating, or disposing of items as needed.
    • Decorate common spaces seasonally, in a non-denominational/neutral way.
    • Assist in the development, implementation, and maintenance of workplace health and safety programs, ensuring compliance with Ontario's Occupational Health and Safety Act (OHSA) and promoting a safe working environment for all employees.
    • Maintain an up-to-date inventory of Safety Data Sheets for all hazardous substances in the workplace.
    • Maintain operation logs and records (e.g., temperature logs, etc.).
    • Purchase and restock office supplies, office equipment, and cleaning supplies as needed.
    • Keep phone system and directories up to date across all TNDF buildings.
    Administration
    • Assist the Executive Director with a variety of administrative tasks as they arise, including filing, scanning, updating documents, and any other duties necessary to ensure efficient workflows and accurate records.
    • Provide regular assistance at the reception desk, covering for any absences and stepping in when the Reception and Volunteer Coordinator needs to complete other work.
    • Regularly review group calendars in Outlook to ensure there are no double bookings, inaccuracies in information, and that all activities are appropriately booked by the staff overseeing the events. Flag any issues that require attention.
    • Create and distribute staff meeting agendas and notes, and coordinate room bookings, food, guest speakers, and other logistics for team events such as lunch-and-learns and staff meetings.
    General Duties
    • Actively participate in fostering a positive organizational culture by promoting collaboration, respect, and teamwork among colleagues, and demonstrating a commitment to the organization's mission, vision, and values.
    • Conduct research and participate in trainings to build knowledge and skills to continually improve and innovate TNDF programs.
    • In collaboration with all other TNDF departments, provide feedback on the development of internal policies and processes.
    • Actively participate in staff meetings, team trainings, and TNDF community events (i.e., Night Market, fundraisers, etc.).
    • Offer support to and communicate often with other staff members.
    • Perform other related errands and duties as required.
    Qualifications & Experience
    • Experience in managing day-to-day operations within an organization, ensuring smooth and efficient processes.
    • Experience with cleaning and general maintenance tasks to ensure a clean, organized, and well-maintained work environment.
    • Ability to coordinate and oversee maintenance schedules, liaise with cleaning staff, and address any maintenance issues promptly.
    • Proven track record of taking initiative to identify and address needs, solve problems, and implement effective solutions promptly and thoughtfully.
    • Strong ability to work independently, demonstrating resourcefulness and critical thinking with minimal oversight.
    • Proven track record of handling sensitive information with the highest level of confidentiality and professionalism.
    • Exceptional interpersonal, communication, and conflict-resolution skills.
    • Demonstrated ability to work respectfully with people of different ages, genders, abilities, and cultural backgrounds.
    • Strong problem-solving and time management skills.
    • Ability to work independently and as part of a team.
    • Proficient knowledge of MS Office Suite (Outlook, Word, Excel, PowerPoint).
    • An ability to do heavy lifting (up to 50 lbs) and withstand repetitive movements.
    • A familiarity with Brock Township, Durham Region, and/or rural communities is an asset.
    • A valid driver's license and regular access to a reliable vehicle is an asset.
