The Kingsville location is seeking a detail-oriented and organized Accounting Assistant to support the daily accounting and financial operations of the organization. This role is responsible for assisting with inventory accounting, invoicing, accounts payable, accounts receivable, financial reporting support, and general accounting administration.
The Accounting Assistant plays an important role in maintaining accurate financial and inventory records, supporting operational accounting processes, and assisting the Controller with reporting and year-end procedures. This position requires strong attention to detail, organizational skills, and the ability to manage multiple priorities in a fast-paced, multi-system operational environment.
Duties and Responsibilities:
Inventory Accounting and Operational Support
- Assist with inventory tracking, including purchase orders, pricing lists, and system updates
- Enter and maintain accurate inventory data across multiple accounting and operational systems
- Verify inventory-related documentation and ensure accuracy of records
- Support inventory reconciliation and assist in resolving discrepancies
- Work with operations, purchasing, and warehouse teams to ensure inventory accuracy
- Assist in maintaining pricing accuracy and updating system records as required
Accounts Payable, Accounts Receivable, and Invoicing
- Assist with accounts payable processing, including verifying and entering vendor invoices
- Support accounts receivable processes, including invoice tracking and payment application
- Assist with invoicing customers accurately and in a timely manner
- Maintain accurate records of customer invoices and vendor payments
- Assist in reconciling vendor and customer accounts
- Communicate with internal departments and external vendors to resolve discrepancies
Financial Reporting and Accounting Support
- Assist with preparation of financial reports, summaries, and supporting documentation
- Support the Controller with year-end and month-end accounting procedures
- Compile and prepare routine financial and statistical reports
- Analyze financial data and identify discrepancies or irregularities
- Research and resolve accounting discrepancies in a timely manner
- Maintain accurate and organized accounting records and documentation
- Ensure compliance with accounting policies, procedures, and applicable standards
Administrative and Accounting Operations Support
- Provide clerical and administrative support to the accounting and finance team
- Maintain accounting files, records, and documentation
- Interpret and apply accounting policies, procedures, and regulatory requirements
- Maintain strict confidentiality of all financial and company information
- Assist with audits, reporting, and compliance documentation as required
- Support finance process improvements and system updates
- Perform additional duties as assigned by the Controller or Finance leadership
Education & Qualifications:
- College or university degree in Accounting, Finance, or related field preferred
- Equivalent combination of education, training, and relevant experience may be considered
- 1–3 years of hands-on accounting or finance experience preferred
- Experience with accounts payable, accounts receivable, invoicing, and inventory accounting preferred
- Experience working in operational, inventory-driven, or multi-location environments considered an asset
Technical Skills and Competencies
- Proficient to advanced knowledge of Microsoft Office applications, particularly Excel
- Experience with accounting software such as Sage Intacct, Service Fusion, or similar ERP systems preferred
- Strong understanding of accounting principles and financial processes
- Good working knowledge of inventory controls, tracking, and costing
- Strong attention to detail and accuracy
- Excellent organizational and time-management skills
- Strong analytical and problem-solving abilities
- Excellent verbal and written communication skills
- Ability to manage multiple priorities and meet deadlines
