Job Description - Accounting Clerk

Position Highlights



Location, Term, and Hours



  • Location: Grande Prairie, AB

  • Full-time position (in office)

  • Hours: Monday-Friday 8 am – 5 pm



Primary Focus: Accounting Duties:



  • Monitor purchase orders being received to match up to payable invoices in the payables program

  • Ensure that all accounts payable invoices are matched to POs or Non-PO invoices have the proper authorization for payment and enter them into the accounting system

  • Verify, reconcile key vendor account balances to ensure accurate payment processing during trade runs

  • Resolve vendor inquiries regarding accounts payable invoices

  • Process payments for corporate credit card transactions

  • Process payments received from clients into the accounting system

  • Resolve client inquiries regarding invoices

  • Monitor aged accounts receivable and collect on overdue accounts

  • Provide exceptional support in managing relations with vendors and clients

  • Maintain confidentiality of all aspects of company financial information



Secondary Focus: Administrative Duties:



  • Open up the office at 8am and closing the office at 5pm. Office is typically closed 12pm-1pm.

  • Answer a small number of calls, forward or relay message to the appropriate person

  • Help book travel and accommodations for coworkers in the company

  • Assist with company events, ordering office supplies and being available to assist with ad-hoc duties

  • Receive any deliveries or packages at the front desk

  • Perform all other tasks that may be assigned by leaders


 


Key Education, Skills, and Experience



  • Outstanding customer service

  • Strong analytical skills and attention to numerical accuracy.

  • Some form of post-secondary education, preferably in Accounting, Finance, or a relevant field

  • With a continuous improvement mindset and challenging/questioning things out of the ordinary.

  • Demonstrate strong attention to detail and data entry accuracy

  • Exhibit time efficiency, and great organizational skills

  • Front desk management and support experience

  • Excellent written and verbal communication skills

  • High levels of competence in Microsoft Excel, Word, Outlook and accounting ERP Packages

  • Excellent analytical and problem-solving skills and

  • Ability to maintain confidentiality



Desirable Skills



  • Additional certification (payroll or accounting) is a plus but not required.



  • Previous experience working in a blended accounting and administrative role for at least 2 years is desired but not required.



Working Conditions



  • Fast-paced office work environment.

  • Requires prolonged periods of sitting and working at a desk.

  • Some lifting, up to 40 lbs., and physical activity to receive packages, inventory counts, etc.

  • The successful candidate must comply with the safety standards of ESW and/or its clients.


 


Contacts



  • Daily contact with many ESW Co-workers.

  • Regular contact with vendors and clients as part of supporting the AP/AR cycles.


 


Reporting Relationships



  • No Co-workers report to this role.

  • The Accounting Clerk will mostly report to the Controller and other Finance Leaders.
