Position Summary:
The Faculty of Education offers a variety of on-campus undergraduate, graduate, and doctoral programs, local and international workshop series, and in-community indigenous education. Under the direction of Finance Officer, the Accounts Administrator will provide financial administrative support within the Dean’s Office, the Faculty’s three departments and offices within the Faculty.
Major Duties and Responsibilities:
Administers various operating, self-financing, student related, endowment and capital funds). Coordinates, assesses and verifies financial related requests of others within the Faculty (Minerva -Expense & Advances, McGill Marketplace (MMP) and Banner);
Ensures accuracy and compliance with University Financial Services / Human Resources, Canada Revenue Agency / Government of Québec, granting agency guidelines, policies and procedures. Maintains up-do-date knowledge of these matters;
Initiates new fund openings and set up new activity codes;
Allocates revenues to the appropriate funds and accounts by processing deposits or by corresponding with Banking Services.
Reviews and performs periodic reconciliation of various accounts and prepares overview reports on selected funds;
Initiates corrections, processes adjustments and follows up with the initiator in regard to these discrepancies;
Acts as back up to within the Faculty of Education’s Financial Services Team (FST) members and participates as a member of FST community;
Follows up with requestors for missing information pertaining to these processes (advances & expense reimbursements, payment request and Pcard transactions);
Monitors and responds to the Finance Office’s generic email address.
Other Qualifying Skills and/or Abilities:
Knowledge of accounting principles. Strong organizational skills, attention to detail and initiative. Proven ability to prioritize and multitask to meet strict deadlines. Client-focused and service-oriented with a proven ability to assist a variety of clients (academics, managers, other administrators). Demonstrated ability to work independently and as part of a team. Demonstrated effective communication skills (ability to clearly transmit and receive information both in writing and verbally). Demonstrated ability to work in a PC environment using word-processing software and spreadsheets (Excel). Experience with McGill Finance applications (BANNER FIS, Minerva Student Funding, Crystal Reports).
