Job Description - Activity Manager

 


Role: Activity Manager 


Program: ILSC Junior Camp at UBC   


Reports to: Centre Director, ILSC Junior Camp at UBC   


Contract Duration: June 22, 2026 to August 14, 2026(full-time employment)   


Duration of Junior Camp Program: 6 weeks – June 28, 2026 to August 9, 2026  


Location: Vancouver, BC 


Compensation: $25.00 per hour 


 


Description:  


ILSC Junior Camps is seeking an experienced, qualified, and dynamic leader to take overall responsibility for the successful delivery of a residential ESL summer youth program. The selected candidate will be required to reside on campus for the full duration of the program and lead a team of 10+ staff in ensuring the safe and successful execution of this immersive experience for international youth.  




Work Schedule and Timeline  
The Activity Manager role is a full-time, fixed-term position. Due to the nature of the work, your hours may vary and may be irregular. 




  • Full time hours on-site at Vancouver campus/UBC will begin on June 22, 2026, until August 14, 2026. 

  • Your weekly work schedule will consist of six consecutive days of work, followed by one full day off per week  

  • Accommodation and meals are included while the Junior Camp is in operation from June 28, 2026-August 9, 2026  




Job Duties:  


The duties of this position include, but are not limited to:



Program set-up and closure 



  • Unpack and pack all program materials and resources at the beginning and end of the program and monitor usage, reporting any missing or damaged materials 

  • Conduct pre-program and post-program damage inventory with school/university authorities

  • Ensure that the UBC rooms and facilities are set up and prepared for the staff and students’ arrival, including signage, first day transfers and staff rosters   

  • Schedule, coordinate, and manage all activity bookings, including  excursions, transportation, and external vendors   

  • Obtain quotes, manage reservations, and track all bookings related to the activities program  

  • In collaboration with the Centre Director, support the development of program policies, procedures, and operational systems  

  • Monitor and manage the activities budget, ensuring accurate record keeping and reporting of all expenses    


 


Staff



  • Coordinate and lead the pre-program staff orientation with the support of the Centre Director, ensuring that all team members have a clear understanding of the Juniors summer program, their roles, and   
    responsibilities, and that all staffing schedules have been clearly outlined and shared with staff.  

  • Conduct regular staff meetings; carry out necessary training and performance evaluations, reporting any concerns or issues to the Centre Director.   

  • Monitor staff working hours and periods of rest, creating staffing schedules (with the support of the Centre Director)   

  • In collaboration with the Centre Director schedule weekly meetings with Group Leaders (chaperones accompanying a group of students employed by travel agency)   

  • Assign staff to assist with student airport arrivals and departures (typically   on Sundays but may occur on other days)   

  • Assign staff to specific activities and excursions, clearly communicating roles and supervision expectations 

  • Lead daily or regular activity briefings to ensure staff are prepared for all scheduled events   


         


Students 



  • Welcome students on the first day, introducing the staff and explaining the   academic, social and welfare responsibilities of each Juniors program staff member   

  • Ensure students understand school rules, disciplinary procedures, and off limit areas.   

  • Oversee and co-ordinate all transport arrangements and the departures of  students on weekends, checking beds and facilities, collecting keys as appropriate, escorting students etc.   

  • Manage student and staff welfare and disciplinary issues during the program including student illness and employment issues   

  • Monitor student participation and attendance in the activities program   

  • Gather and review student feedback on activities and overall experience   

  • Provide additional support and engagement opportunities for students not travelling with group leaders  



Activities Program 



  • Take overall responsibility for the planning, organization, and delivery of the   Activities Program, including on-campus and off-campus activities   

  • Ensure activities are engaging, inclusive, age-appropriate, and aligned with program objectives   

  • Assign staff to activities and excursions, ensuring appropriate supervision and staff-to-student ratios   

  • Lead daily staff briefings to review upcoming activities and ensure smooth execution   

  • Promote student engagement and participation in all programmed activities

  •  Monitor the quality of activities and adapt the program as needed in consultation with the Centre Director

  • Ensure all activities are conducted in accordance with health and safety standards   



Other



  • Participate in weekly meetings with the Centre Director, and National Director of Juniors.  

  • Take overall responsibility for disciplinary matters in consultation with the Centre Director.  

  • Welcome visitors to the program as required (e.g., third party agents, colleagues from ILSC, language agencies, accrediting inspectors etc.) 

  • Liaise with the Centre Director, the National Director of Juniors and other departments to ensure alignment between academic and activities programming  

  • Maintain clear and consistent communication with vendors, partners, and internal stakeholders regarding activities and excursions   


 


 Essential Qualifications, Skills, and Attributes:  



  • Experience working with teenagers in a camp or residential environment 

  • Background in sports, art, drama, or dance, or social media  

  • Enthusiasm, energy, and motivational skills  

  • Strong organizational and logistical planning skills  

  • Experience managing events, programs, or excursions  

  • Ability to manage budgets and coordinate with external vendors  


 


Desirable



  • CPR / First Aid / Lifeguard certification  

  • Bilingualism: English

  • Criminal Record Police Check

  • Medical records and immunization reports may be required
