Reporting to the Manager of Administrative Office and the HR Manager, the Administrative Coordinator is responsible for providing senior administrative services, coordinating and managing Yuułuʔiłʔatḥ administrative functions, and assisting with human resources management. The role requires a high level of confidentiality pertaining to citizens, clients, employees, and general matters of the Yuułuʔiłʔatḥ Government.
ACCOUNTABILITY
Day-to-Day Operations Support
Supports the Manager of Administrative Office by providing confidential, senior-level administrative support in accordance with Yuułuʔiłʔatḥ laws, policies, and procedures.
Assists in day-to-day operations of internal administration including programs and projects.
Assists the Manager of Administrative Office in formulating administrative policies, planning, and reports.
Assists citizens to navigate services as required.
Provides support and backfill for other administrative staff in travel arrangements for employees.
HR Support
Assists the HR Manager by providing confidential, senior-level administrative support.
Coordinates and supports the HR Manager in the hiring process including preparing job postings, setting up interviews, supporting the selection committee, conducting reference checks, and preparing employment agreements.
Supports the HR Manager in coordinating orientation and onboarding of new employees, working with respective department managers to ensure an effective onboarding experience.
As directed by the HR Manager, works with employees and the benefits broker/insurer regarding enrollment, reporting, and education about the program.
Assists in organizing team-building activities with direction from the HR Manager.
Office & Facilities Management
Oversees office operations including supplies, equipment maintenance, and facility coordination.
Ensures efficient document management and filing systems.
Coordinates meeting logistics including room bookings, materials, and scheduling.
Performs other duties and responsibilities as necessary in the performance of the position.
EDUCATION & EXPERIENCE
Required:
Bachelor's degree or diploma in a related field (e.g., Business Administration, Political Science, Indigenous Studies)
3–5 years of prior experience in office administration or at an executive assistant level supporting senior management
Experience administering human resource programs and policies
Advanced proficiency in Microsoft 365 (Word, Excel, Outlook, PowerPoint) and various technical platforms
Must have valid Class 5 BC Driver's Licence and satisfactory driving record
Preferred:
Solid experience with and knowledge of working with Indigenous organizations and/or remote Indigenous communities
Knowledge of benefits administration and onboarding processes

WORKING CONDITIONS
Standard office hours (8:00 AM – 4:30 PM, Monday–Friday)
Office-based role at hitac̓u with occasional travel (approx. 10%)
