Job Description - Administrative Assistant II

The Municipality of Chatham-Kent has an opening for a temporary full-time Administrative Assistant II in the Senior Services division. This temporary full-time opportunity is for a period up to February 2028. 


Job description


The Administrative Assistant II will prioritize, perform, and oversee a number of administrative tasks to achieve outcomes and provide project support.


Essential responsibilities



  • Demonstrate Chatham-Kent’s core values and competencies

  • Provide a wide range of administrative tasks, providing clerical support as needed

  • Maintain databases and records for the functional area

  • Monitor staff attendance and entitlements entering information into database, including vacation time, sick time, lieu time, overtime, etc. and ensure functional area information is complete and accurate

  • Maintain accruals providing reports

  • Prepare and monitor leave of absence and keep records (i.e. maternity, education, LOA, sick leave etc.)

  • Assist with preparing letters as needed by functional area

  • Submit payroll data to the payroll department, monitoring, adjusting and preparing for submission

  • Provide Reception support; receive and screen information, correspondence, staff, and phone calls using judgement

  • Create, track, post and process internal job postings

  • Track and prepare probation reports for new employees

  • Provide backup support to Accounts Payable and Resident Accounts

  • Order and purchase supplies

  • Report in provincial databases


Essential qualifications



  • College certificate or diploma (preferably in an office administration related program), plus two (2) to four (4) years of related administrative experience

  • Experience working in a municipal environment or other government related environment supporting management positions

  • File management experience, preferably with TOMRMS system

  • Experience with statistical reporting and tracking capabilities and database management including tracking vacation time, lieu time, sick time, overtime, in an HRIS program

  • Demonstrated competency in customer service, including dealing effectively with difficult and irate customers

  • Strong computer skills, specifically Microsoft Office (Word, Excel, PowerPoint, Outlook) (or other similar software program) and ability to learn new software applications as required

  • Experience with JD Edwards


Work environment/hours of work



  • This position works weekday hours, with occasional evening and weekend hours



Driver’s licence/vehicle requirements


Because this position would be required to travel, a valid Province of Ontario driver's license with a reliable motor vehicle is preferred.


Background check requirements



  • This position works with vulnerable residents in a position of trust and authority, on a sustained and regular basis, in a largely unsupervised capacity. A Vulnerable Sector Screen is required (Fixing Long-Term Care Act section 252 O. Reg. 246/22) prior to being accepted for employment. You must be 18 years of age or older to obtain a vulnerable police check.

  • All staff members shall promptly provide the employer with a signed declaration disclosing new charges, convictions, orders and restraining orders, consistent with Ontario Regulation section 253 O. Reg 246/22 made under the Fixing Long-Term Care Act, with respect to the period since the date the person’s last criminal reference check under subsection (2) was conducted.


Essential physical and/or safety requirements



  • Annual Flu immunization is required

  • 2 step TB skin test to be completed within two weeks of starting position

  • Sitting: constant sitting in chair (computer duties, paper work, telephone, etc.; some positions may be required to travel to different sites)

  • Hands: constant fine finger dexterity (movement), mousing (computer, mousing, scrolling, file/paperwork, telephone, copier, faxing, postage machine, etc.; stapling)


Benefits


This temporary full-time position has an hourly wage of $30.914 to $35.014 and will receive 15% in lieu of benefits (which includes group benefits, statutory & non-statutory holidays, and non-enrolment in OMERS) and 4% vacation pay. Where a permanent employee is receiving benefits and is the successful candidate for a temporary vacancy, benefits will remain as per the policy manual.


When internal employees are applying to temporary vacancy and want to maintain their permanent status: positions posted as “temporary” may be filled with permanent employees (full-time, part-time and call-in) who want to keep their permanent status provided their ability to be released to a temporary position is reviewed and approved with their current manager/supervisor before submitting an application.
