Job Description - Administrative Assistant - Indigenous Skills and Employment Training Program

Mamaweswen, The North Shore Tribal Council invites applications for the ISETP/Naadmaadwiiuk Unit Administrative Assistant. Administrative Assistant will report directly to the Indigenous Skills and Employment Training Unit Manager (ISETP) of the North Shore Tribal Council.



Purpose
The Administrative Assistant will provide administrative and financial support to the ISETP/Naadmaadwiiuk Manager. While performing the duties of this job, the Administrative Assistant will typically be in an office setting. The Administrative Assistant is regularly required to operate a computer, file and retrieve written documents, enter data in system.



Responsibilities


The Project Coordinator will oversee the ECE training program as follows:



  • Will coordinate the recruitment and selection of participants along with the Training Program Team.

  • Ensure each participant meets the entrance requirements (i.e. coordinate CAAT with Sault College if OSSD is not provided during interview)

  • Monitor participants activities and any assistance they may require for success and positive experience in the program.

  • Coordinate all project activities including participation in all meetings with the training program team.

  • Liaise with the Sault College instructors and student support staff, including Elder support.

  • Assist with travel arrangements/accommodations for in-person classroom setting

  • Input and continuous monitor student data into the (ARMS) data management system

  • Assist with troubleshooting any areas of concern that may occur with the student success as needed.

  • Provide reports to the ISETP Manager for review

  • Liaise with First Nation Childcare Centres for placements of the students



Other duties as assigned by the NSTC ISETP Unit Manager/Project Team.



Qualifications
The Administrative Assistant shall possess:



  • A diploma in Administration or 3 years work experience in Business Administration

  • Social Services Diploma will be an asset

  • Three (3) years’ direct experience working with students and knowledge of First Nation and mainstream organization services will be an asset (i.e. mental health and addictions services, housing, social services etc.)

  • Equivalent combination of education and experience may be considered

  • Proficiency with Computer Applications - Microsoft 365, Outlook, Word, Excel, PowerPoint, Publisher, and other forms of technology

  • Strong organizational skills, time management and able to multitask

  • Strong Communication skills both oral and written

  • Experience working with Indigenous people, organizations and communities

  • Knowledge and understanding of Anishnawbek culture, traditions

  • Travel is Required – Applicant must possess Class G Ontario Driver’s License and access to own vehicle ($1M automobile liability insurance)

  • Effective interpersonal skills and able to problem solve effectively

  • Able to work with minimal supervision
