Job Description - Administrative Coordinator

The Village at University Gates  has an exciting opportunity for a Administrative Coordinator  join their team. 


• Status: Permanent  Full-Time 
• Location: 250 Laurelwood Dr., Waterloo, ON N2J 0E2


The Estimated Start Date: February 2026


The hiring range for this role is $46,350 - $51,300

As our new Administrative  Coordinator you will:



  • Have an office administration certificate or equivalent experience

  • Support team members and HR processes (benefits, payroll correspondence)

  • Create balance reports, arrange coded invoices, collect and balance rent payments

  • Demonstrate exceptional customer service and communication skills

  • Have experience with resident billing and rate reduction applications 

  • Demonstrate thorough attention to detail and the ability to manage conflicting priorities

  • Be proficient in Microsoft Office 365 and other computer programs

  • Be the first point of contact for many of our team, residents, families and visitors

  • Create exceptional customer experiences for incoming queries, managing office and village supplies, creating documents for fellow team members, and supporting other members of the administrative team

  • Foster exemplary relationships with residents, their families and the Village team and support the efforts of the Village to holistic care to our residents


It would be an asset if you have:



  • Previous experience working in the context of a Long-Term Care or Retirement Home
