Job Description - Administrative Coordinator (District Operating Center Administrator)
Eaton\u2019s Electrical sector is seeking an Administrative Coordinator based out of our Moncton, AB facility. This role is a permanent, onsite role that offers benefits from day one. \n\nThe expected annual salary range for this role is $70,000 - $85,000 per year. Salaries are based upon candidate skills, experience, and qualifications, as well as market and business considerations.\n\n## What you\u2019ll do:\n\nThe primary purpose of this position is to provide administrative support for the Atltantic Canada Field Services Group. \n \n\n\nIn this function you will: \n\u2022 Supply insurance certificates or order documents required. \n\u2022 Enter orders and costs in Oracle system for all jobs. (Oracle 11i, Oracle R12). \n\u2022 Initiate billing in Oracle and ensure all costs and time are accounted for in the job. \n\u2022 Manage work in progress report and AR reports. \n\u2022 Work with customers with Accounts Receivable issues to collect payment. \n\u2022 Open supplier accounts in Eaton System. \n\u2022 Manage supplier invoicing issues, work with IT to resolve issues. \n\u2022 Assign purchase orders to correct projects, ensure costs hit projects accordingly. \n\u2022 Shop for best pricing on office and shop supplies. \n\u2022 Create all shipping documents and packing slips. \n\u2022 Request export paperwork from Eaton customs group by filing out proper documentation. \n\u2022 Send all customs paperwork from imports from the USA or elsewhere to Eaton customs group. \n\u2022 Obtain and maintain list of products inventoried to facilitate ordering of products required.\n\n## Qualifications:\n\nBasic (Required) Qualifications: \n\u2022 Completed High School Diploma \n\u2022 Minimum of 2 years of experience working in a high-volume administration function \n\u2022 Legally authorized to work in Canada without company sponsorship now and in the future \n\u2022 No relocation provided \n \n\n\nPreferred Qualifications: \n\u2022 Diploma in Business Administration or Accounting \n\u2022 Experience in accounts receivable, accounts payable, and order entry\n\n\u2022 Experience using Oracle ERP systems\n\n\u2022 Fluency in French language (Spoken and written) \n\n## Skills:\n\n\u2022 Excellent communication and interpersonal skills. \n\u2022 Strong analytical aptitude and complex problem-solving skills. \n\u2022 Strong knowledge of Microsoft office applications. \n\u2022 Effective time management, prioritization and project management skills. \n\u2022 Demonstrated ability to provide excellent service and represent company interests in developing customer relationships to assure long-term customer satisfaction. \n\u2022 Knowledgeable in order entry and time entry software systems and leverage resources and relationships within the division, other Eaton Electrical business units, and customers in order to achieve success. \n\u2022 Ability to understand profit and loss statements including margins, costing, sales, materials, labor, inventory and absorption. \n\u2022 Proactive problem-solving mindset with limited involvement and direction from DOC Manager.\n\nAll positions may require participation in video and in-person interviews as part of the hiring process.
