Job Description - Administrative Services Coordinator

Akisqnuk First Nation (″AFN″) is looking for a talented individual to join our team in the role of Administrative Services Coordinator. The Administrative Services Coordinator provides leadership, coordination, and oversight for the administrative functions of the ʔakisq̓nuk First Nation. This position ensures the smooth operation and integration of organizational systems and administrative support that enable AFN to achieve its strategic and operational goals.


Reporting to the Director of Core Services, this role supports the Director of Core Services in all administrative matters, leads administrative and executive support functions and supports events, communications and IT coordination with internal and external partners; and leads departmental initiatives that strengthen efficiency, accountability, and organizational capacity.


The Administrative Services Coordinator is a key systems and team leader — fostering collaboration, consistency, and excellence across administrative operations, and supporting all departments through structured processes, effective communication, and strong technical and organizational management.



Akisqnuk First Nation is a member Community of the Ktunaxa Nation. AFN exists for the Community. Job Type: This role is full-time working 35 hours per week.


 


The primary responsibilities include:



Administrative Leadership & Oversight



  • Supervises, mentors, and supports administrative staff (EAs, AAs, and receptionists), ensuring consistent performance, professional development, and workload balance.

  • Oversee administrative and executive support services to leadership (CAO, SLT and Chief and Council) and operational departments ensuring meetings, documentation, and follow-up actions are completed with accuracy and confidentiality.

  • Develop and standardized administrative workflows.

  • Oversee the preparation, formatting, and quality control of reports, correspondence, and formal documents.

  • Ensure implementation and adherence to AFN administrative policies, procedures, and departmental work plan objectives.

  • Lead operational onboarding and offboarding processes for new and departing employees, ensuring consistency across departments.

  • Provide oversight of records management and filing systems, including the development of efficient document retention and digital archiving procedures.

  • Manage and optimize operational software platforms.

  • Oversee logistics for meetings, events, and Council functions, ensuring agendas, minutes, and documentation are prepared and distributed in a timely and professional manner.



Core Services & Organizational Management



  • Supports cross-departmental initiatives with Events, Communications, and IT to support integrated service delivery.

  • Oversee Core Services systems and processes, ensuring alignment with AFN policies and procedures.

  • Budget tracking, purchasing, and budget inputs.

  • Participate in internal committees and working groups to support strategic goals and promote a collaborative workplace culture.

  • Lead process improvement initiatives to strengthen efficiency, communication, and organizational performance.

  • Provide reporting and administrative summaries for the Director of Core Services.



Special Projects & Initiatives



  • Lead or support organizational initiatives such as:

    • Development of the ʔakisq̓nuk Staff Guide (staff resources)

    • Development of Core Services processes and procedures

    • Development and implementation of cross-departmental office procedures

    • Multipurpose facility administrative planning

    • Oversee development of archival, filing structure and implementation of departmental drive systems.





Other duties within the scope of the position may be allocated. These will be in accordance with the position’s scope, capacity, competence, training and experience or be part of a training/development plan.





Qualifications:


·       Office Administration Diploma/Certificate, Business Administration Diploma/Certificate or equivalent certification.


·       Minimum of 2-4 years of leadership responsibility and 5+ years of Administrative Support.


·       Experience working with First Nations/Aboriginal/Indigenous communities.


·       Strong organization and multitasking skills.


·       Experience developing and managing a budget.


·       Ability to work under pressure in a fast-paced environment.


·       Proficiency in Microsoft Office Suite (Word, Excel, Access, etc.).


·       Ability to handle confidential information with discretion.


·       Innovative, detail-oriented and proactive problem solver.


·       Ability to communicate effectively across all organizational levels.

·       Competitive base salary (starting salary $70,000 to $80,000 per annum)
