Job Description - Assistant Manager, Voyage Contract - Montreal

Reporting to the Head of Voyage Contract Management, we are currently looking for an Assistant Manager, Voyage Contract. The successful candidate will be entrusted with the comprehensive, accurate management of voyage and time charter charter parties, including the calculation and execution of laytime activities. Key responsibilities encompass preparing and verifying laytime statements, managing demurrage and dispatch claims, and overseeing all aspects of voyage invoicing—such as freight, laytime, detention, and rebill invoices—in strict adherence to company procedures. The role further entails oversight of time charter hire and time charter out hire, including the processing of hire statements, validation of charter details, and management of rebills. The Assistant Manager, Voyage Contract will collaborate closely with internal departments and external customers to ensure all relevant information is factored in, enabling precise work execution aligned with our commercial considerations.

WHAT YOU'LL BE DOING | THE ROLE 

  • Calculate time to load and discharge ships, ensuring all calculations are in accordance with contract terms. 
  • Maintain detailed laytime/freight notes based on customer requirements, chartering recaps, and charter parties. 
  • Utilize historical data for contracts and voyages to inform decisions. 
  • Handle disputes, arguments, and negotiations, facilitating settlements and ensuring fair outcomes. 
  • Share learnings with operators and in-house Chartering brokers for voyage reviews  
  • Provide insights into improving future operations. 
  • Conduct research on jurisprudence related to laytime. 
  • Analyze data to support decision-making and improve processes. 
  • Support operators and brokers during the fixing process. 
  • Process voyage commissions, freight invoices, laytime, detention and rebills 
  • Ensure data accuracy in VIP 
  • Provide VIP system support for entering freight-related changes 
  • Run statements for hire, off hires, and rebills, collaborating closely with operators to ensure timely and accurate processing. 
  • Settle off-hire claims with Owners/sub-Charterers     
  • Correspond with external Brokers & Owners with regards to TC Hire related items. 
  • Collaborate with the Receivables team to ensure timely remittances are received/made and Workday mirrors VIP 
  • Collaborate with the Payables team to ensure timely remittances are made and Workday mirrors VIP 

WHAT YOU BRING | THE PERSON 

The ideal candidate has: 

  • Proven experience in maritime shipping or any other related field. 
  • Strong organizational skills with the ability to prioritize and manage multiple projects in an efficient and timely manner. 
  • Curious and flexible approach to change and continuous improvements 
  • Strong understanding of laytime processes. 
  • Good Analytical & problem solving skills 
  • Strong negotiation skills towards claims & dispute resolution 
  • Excellent attention to detail  
  • Communication & Interpersonal skills to collaborate effectively with internal and external parties 
  • Bilinguism is required, with strong English proficiency due to our frequent communication with our global colleagues, and partners.
