Position Overview
Reporting to the Dean, Enrolment Management & Registrar, the Associate Registrar plays a key leadership role in advancing Bow Valley College’s strategic enrolment management goals. This position provides leadership to  the work of the admissions and transfer credit teams The Associate Registrar also acts as a delegate in the Dean’s absence and supports institutional initiatives through cross college collaboration, innovation, and process improvements.




The role of the Associate Registrar, (AR) is to provide administrative leadership to the Office of the Registrar and Enrolment Services (ORES), to promote excellence in Registrarial services provision and to foster a culture of continuous improvement. The AR provides support and mentorship as the direct supervisor to staff. The AR supports ORES staff in their professional development and innovation activity to ensure delivery of a consistently high-quality enrolment and registration experience that supports the strategic enrolment management goals of the College. 




The Associate Registrar is responsible for the administration in matters related to human resources, facility resources, budget and financial planning as per delegated signing authority, system implementation, process improvements, service development as appropriate, and internal and external liaison as assigned. This role works closely with the Dean of Enrolment Management & Registrar and ORES staff in the planning, development, implementation and evaluation of assigned portfolios.




Together with the Dean, Enrolment Management & Registrar, the AR provides leadership and direction with partnerships and collaborative initiatives that involve the community, professional associations, agencies, and other post-secondary institutions.




Team Leadership & Operational Oversight


The Associate Registrar is responsible for managing a high-performing team through effective leadership, coaching, and professional development. This includes assigning work, recruiting, performance evaluation, addressing disciplinary matters, and supporting team engagement. The role ensures operational excellence through the development of annual goals, performance metrics, and adherence to service standards, policies, and collective agreements. Budget management, business case development, and strategic resource allocation also fall within this portfolio.




Strategic Enrolment & Service Innovation
This role provides strategic direction for enrolment planning, continuous service improvement, and technology integration to support student success. The Associate Registrar develops robust systems and processes, monitors effectiveness, and leads service evaluations to ensure alignment with institutional priorities. They approve operational schedules, resolve service-related issues, and support implementation of college-wide enrolment initiatives.




Collaboration & Institutional Leadership
The Associate Registrar works closely with internal stakeholders such as Associate Deans, IT, Student Services, and Marketing and Recruitment, to support efficient workflows and exceptional student services. They also represent the College on committees and collaborate on initiatives to advance the college’s goals. The role helps shape institutional policies and procedures and contributes to cross-departmental strategic planning efforts.




External Relations & Research Support
This position fosters external partnerships and represents the College in various administrative, government, and community forums. It supports the development of applied research and analytics projects to enhance enrolment strategies and explores grants and funding opportunities to advance Registrar initiatives.




Qualifications
A Bachelor’s degree in a related field is required (Master’s preferred), along with at least five years of experience in a post-secondary setting—preferably within Registrar services. The ideal candidate brings strong leadership and coaching skills, experience with enrolment planning and change management, and a solid understanding of adult learning and enrolment practices. Exceptional communication, systems thinking, attention to detail, relationship building, and resource stewardship are essential. Proficiency in Microsoft Office and the ability to travel are also required.




If your education was received internationally, we will require you to provide an international education assessment through IQAS, WES, or one of the other nationally designated organizations upon hire




The successful candidate will be required to provide a current, clear Police Information Check (PIC)
