Job Description - Associate Technology Strategy Specialist

We are seeking a detail-oriented and highly organized IT Project Coordinator to support portfolio-level operations within an IT Delivery organization. This role is focused on portfolio administration, process optimization, and operational reporting, ensuring efficient execution across programs and projects.

The ideal candidate will play a key role in supporting the team’s strategic pillars—Administration, Vendor Management, Portfolio Financials, and Project Delivery—while leveraging strong technical skills in Excel, PowerPoint, Word, Teams, and SharePoint to drive efficiency and insight.

Position Responsibilities:  
Portfolio Administration & Governance

  • Provide comprehensive support for IT portfolio administration, ensuring consistency and accuracy across projects and programs
  • Maintain centralized documentation, standards, and coordination workflows across SharePoint and Teams
  • Support governance processes including status reporting, documentation management, and coordination of portfolio reviews
  • Ensure adherence to organizational policies, compliance requirements, and delivery standards

Contingent Workforce Onboarding & Offboarding

  • Coordinate end-to-end onboarding of contingent workers (contractors, vendors) including system access (Teams, SharePoint, project tools); equipment coordination and onboarding documentation; training materials and orientation support
  • Manage offboarding processes, including timely removal of system access; documentation of project transitions and knowledge transfer
  • Partner with HR, vendors, and IT teams to ensure compliant and efficient workforce transitions

Vendor Management Support

  • Assist with vendor coordination and tracking, including engagement records and performance documentation
  • Support contract and resource tracking, ensuring alignment with project and financial plans
  • Act as a liaison between vendors and internal teams to support delivery needs

KPI Metrics Tracking & Reporting

  • Develop and maintain portfolio-level KPIs and performance metrics
  • Create and manage reports using advanced Excel (pivot tables, data analysis, dashboards)
  • Build and deliver executive-ready summaries in PowerPoint and documentation in Word
  • Monitor trends, identify risks or gaps, and provide insights to support decision-making
  • Ensure data accuracy and timely reporting across all programs

Portfolio Financials Support

  • Assist in tracking portfolio budgets, forecasts, and actuals
  • Maintain financial tracking tools and ensure alignment with resource and project plans
  • Support financial reporting cycles and variance analysis

Process Design & Optimization

  • Identify opportunities to improve operational efficiency and streamline processes
  • Design and implement standardized workflows, templates, and procedures
  • Drive adoption of best practices across portfolio administration and reporting
  • Support automation and continuous improvement initiatives

Project Delivery Support

  • Assist project managers and delivery teams with coordination activities including scheduling, documentation, and communications; tracking milestones, deliverables, and dependencies
  • Support cross-team collaboration using Microsoft Teams and SharePoint

Required Qualifications: 

  • Bachelor’s degree in Information Technology, Business Administration, or related field (or equivalent experience)
  • 3+ years of experience in IT project coordination, portfolio administration, or PMO support
  • Advanced proficiency in Microsoft Excel, including pivot tables and data analysis
  • Proficiency in PowerBI 
  • Strong working knowledge of Microsoft PowerPoint, Word, Teams, and SharePoint
  • Experience with KPI tracking, reporting, and performance analysis
  • Excellent organizational skills with strong attention to detail
  • Strong communication and stakeholder coordination abilities

Preferred Qualifications

  • Experience in IT Delivery organizations or PMO environments
  • Familiarity with portfolio/project management tools (e.g., Planview, ServiceNow, Jira, or similar)
  • Exposure to financial tracking and vendor management processes
  • Experience with process improvement methodologies

Salary range is expected to be between

$69,525.00 CAD - $115,875.00 CAD

Employees also have the opportunity to participate in incentive programs and earn incentive compensation tied to business and individual performance. The actual salary will vary depending on local market conditions, geography and relevant job-related factors such as knowledge, skills, qualifications, experience, and education/training.
