Job Description - Branch Assistant Engineering Services

We are accepting applications from existing CVRD CUPE Local 556 members only for a full-time Branch Assistant to join our Engineering Services team. The Branch Assistant provides administrative assistance for the Solid Waste Service and Engineering Services as a whole, which includes engineering, water, wastewater, solid waste and liquid waste management planning services. Reporting to the General Manager of Engineering Services, the primary responsibilities of this role include:

  • Providing administrative support to all managers and staff within Engineering Services and providing coverage for other branch assistants as needed;
  • Requesting and preparing meeting agendas including supporting documentation, taking and transcribing meeting minutes of the meetings, arranging and providing for meeting logistics;
  • Responding to enquiries of a specific nature over the phone or in person, and referring more complex or unusual enquiries to appropriate staff for response;
  • Conducting research on various subjects by retrieving file and internet information, contacting other agencies and organizations, and preparing correspondence, briefing notes or reports;
  • Maintaining management reports and project tracking systems, along with supporting staff to ensure deadlines are met;
  • Providing information on various services and programs to a wide variety of internal and external contacts;
  • Reviewing and processing applications, permits and rebates;
  • Providing updates and edits to the websites for programs, projects and services.

Our ideal candidate is:

  • A strong communicator with a tactful, respectful approach and excellent customer service skills;
  • Comfortable responding to complaints when required;
  • Knowledgeable in the practices and processes involved in local government office administration;
  • Able to produce accurate documents in an efficient manner with strong research and writing skills;
  • Organized with the ability to prioritize work and meet deadlines;
  • Experienced in providing administrative support with over one year up to two years of directly related experience including advanced working knowledge of Microsoft Office, Adobe Acrobat and SharePoint applications, minute taking and electronic filing;
  • Educated in office administration, including an office administration course of six months to one year duration at the post-secondary level, following high school graduation;
  • A WorkSafeBC approved course in asbestos awareness training is preferred.

A valid BC Class 5 driver’s license is required for this role.
