Reporting to the General Manager, the Business Automations Specialist is responsible for designing, building, and maintaining workflow automations across the business that improve efficiency, reduce manual work, and enhance the customer experience — all while aligning to a defined AI and data strategy.

Responsibilities:
This position will include, but not be limited to the following:
Workflow Automation Development:
- Build and maintain automations across ServiceTitan workflows and core business applications
- Replace manual processes and reduce reliance on third-party tools like Zapier
- Automate event-driven processes across structured and unstructured data sources (e.g. SharePoint)
- Create standardized automation frameworks and scalable reusable components across departments
Establish a structured intake process to evaluate and prioritize automation opportunities by business impact
System Integration:
- Connect systems via APIs and middleware including ServiceTitan, phone systems, SharePoint, LaceAI, Revin, and other core business applications
- Ensure integrations are reliable, scalable, and include event monitoring and alerting
- Maintain and expand integration architecture as new tools and platforms are onboarded
AI-Assisted Workflows:
- Implement AI-driven use cases: call summaries and tagging, suggested CSR responses, and workflow triggers based on call intent
- Work with structured knowledge sources (SharePoint) as inputs to AI-assisted workflows
- Integrate LaceAI outputs and structured call tagging into operational workflows
Monitoring & Optimization:
- Monitor automation performance and failures; proactively resolve issues before they impact operations
- Continuously improve workflows to increase reliability and reduce manual touchpoints
- Track and report measurable time savings and operational impact across CSR and field workflows
- Identify inefficiencies, redundancies, and manual touchpoints throughout workflows and recommend process improvements
Documentation & Governance:
- Document all automations; maintain clear naming conventions, version control, and governance standards
- Ensure all work aligns with overall system architecture — no “shadow automations” or undocumented processes
- Conduct periodic audits of systems, automations, and integrations
Qualifications Include:
- 2+ years in workflow automation, systems integration, or a related technical role
- Experience
- Strong understanding of APIs (REST, webhooks), data flow, and system design; Python or JavaScript scripting ability is an asset
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines
- Excellent communication skills for vendor coordination and customer updates
- Detail-oriented with high accuracy in documentation and data entry
