We are Somerset West Community Health Centre (SWCHC), a non-profit, community-governed organization that serves over 18,000 clients annually. Established in 1978, SWCHC provides a wide range of health care services such as primary health care, health promotion, community development, mental health, and harm reduction. What the Program Entails

The Capacity Building Pilot is a collaborative initiative involving Somerset West Community Health Centre, the Ottawa Black Mental Health Coalition, the Ottawa Black Coalition, the City of Ottawa’s Community Funding and Development team, the Equity Branch, and participating community organizations.

The pilot is designed to strengthen the capacity and funding readiness of participating Black-led, Black-serving and Black-focused organizations. It recognizes that organizations are at different stages of development and therefore require flexible and tailored support rather than a one-size-fits-all approach.

Through workshops, coaching, peer-learning opportunities, practical resources and access to specialized expertise, the pilot will support organizations in areas such as governance, financial management, human resources, strategic planning, grant writing and organizational development

What You’ll Do

Reporting to the Coordinator Ottawa Black Mental Health Coalition, the Capacity Building Pilot Project Coordinator will work collaboratively with the City of Ottawa’s Community Funding and Development team, the Equity Branch, the Ottawa Black Coalition, the Ottawa Black Mental Health Coalition, the Capacity Building Pilot Advisory Circle, consultants and participating organizations.

The Coordinator will support the implementation of the pilot, coordinate capacity-building activities, provide ongoing administrative and logistical support, and help ensure that project activities, deliverables, evaluation requirements and reporting obligations are completed within established timelines.

The role also serves as an important point of coordination between project leadership, participating organizations, community partners and technical experts.

What we are looking for

Life and work experience

• Approximately five years of experience in project management, program coordination or program development, preferably within the education, municipal, community or social-services sectors.


• Experience coordinating programs, workshops, learning opportunities or events for professional or community groups.


• Knowledge of Ottawa’s non-profit, grassroots, community and social-services sectors.


• Experience working with community organizations, partners, clients and diverse interest holders.


• Experience coordinating outreach, engagement and relationship-building activities.


• Experience preparing educational resources, tools, templates and learning materials.


• Experience supporting project monitoring, evaluation, data collection and reporting.


• Experience with basic accounting and administrative processes, including invoicing, bookkeeping and budget tracking.


• Experience coordinating translation and interpretation services.


• Proficiency with digital and communication tools such as Microsoft Office, Google Workspace, Zoom, SharePoint, Canva, Constant Contact, SurveyMonkey and WordPress.


• Experience supporting virtual workshops, webinars and online meetings
  

Your Education path  

• College diploma or university degree in administration, project management or a related field.


• An equivalent combination of education and relevant professional experience may be considered. 

Required Languages

• Fluency in both English and French is required.


• Proficiency in additional languages is considered an asset.

Key Responsibilities 

As our Capacity Building Pilot Project Coordinator, your responsibilities will include:

Project Coordination and capacity building

• Coordinate the implementation of the Capacity Building Pilot in collaboration with participating organizations and project partners.


• Coordinate outreach and engagement with participating Black-led, Black-serving and Black-focused organizations.


• Support organizational-readiness assessments and help tailor capacity-building supports to each organization’s stage of development.


• Coordinate virtual and in-person workshops, training sessions, coaching, peer-learning opportunities and communities of practice.


• Coordinate workshop schedules, facilitators, consultants, resources and participant communications.


• Connect participating organizations with expertise in governance, financial management, human resources, strategic planning, grant writing and other organizational-development areas.


• Develop, organize and maintain practical tools, templates, information packages and shared resources.


• Support organizations in strengthening their readiness for municipal and other funding opportunities.


• Provide administrative and logistical support to the Capacity Building Pilot Advisory Circle, working groups and committees.


• Support the planning and delivery of pilot activities from September 2026 to September 2027

Administration, Monitoring and Reporting

• Prepare, edit and distribute meeting agendas, minutes and project-related documents.


• Maintain accurate participant information, project records, activity logs and schedules.


• Monitor project activities, deliverables and timelines.


• Coordinate schedules and facilitate project and team meetings.


• Support project monitoring, evaluation and outcome reporting.


• Collect and maintain participant and evaluation data required for funder reporting.


• Process invoices and support project-budget tracking.


• Maintain confidentiality and act in accordance with professional and organizational standards.


• Provide timely administrative support to project leadership and partners

Communications and Partner Engagement

• Maintain effective communication with the Ottawa Black Mental Health Coalition, SWCHC, the Ottawa Black Coalition, the City of Ottawa’s Community Funding and Development team, participating organizations and other partners.


• Provide communications and promotional support through email, social media and other digital platforms.


• Support the preparation and timely release of project communications and promotional materials.


• Help ensure that project messaging and promotional materials are accurate and available in both official languages.


• Coordinate translation and interpretation services as required.


• Provide technical support for Zoom workshops, webinars and meetings.


• Participate in promotional events, outreach activities and in-person events across Ottawa.


• Work collaboratively with project partners, advisory groups and community interest holders.
