Job Description - Catering Services Manager (Maternity Leave Contract)

Job Summary


The Catering Services Manager plays a pivotal role in the successful execution of corporate meetings and events at Hotel X Toronto, Destination by Hyatt. This fixed-term position provides maternity leave coverage and is responsible for coordinating and executing local catering events with precision, ensuring all contractual, operational, and service details are expertly planned and delivered. This role manages local catering events with fewer than 10 guest rooms, as well as internal hotel events including the annual staff gala, summer staff party, Breakfast with Santa, and other internal meetings throughout the year. The Catering Services Manager builds strong client relationships, communicates expectations across departments, and ensures each event reflects the brand standards and service excellence of Hotel X Toronto.


Role and Responsibilities



  • Coordinate all logistics and details for events, with a strong focus on corporate meetings and events with less than 10 guest rooms.

  • Detail and maintain records of all internal hotel events and meetings.

  • Finalize all local catering and wedding contracts and addendums.

  • Add event placeholders in Banquets software once contracts are confirmed.

  • Maintain superb client relations and ensure that event specifications are communicated and executed for a successful experience for the convener and guests.

  • Participate in site visits and participate in pre/post event meetings.

  • Create, update, and maintain event floorplans in accordance with health and safety standards and operational requirements.

  • Ensure prompt and professional communication, prioritizing same day follow up (during business hours) for internal and external communications.

  • Adhere to all health and safety guidelines and policies.

  • Adhere to food and beverage ratios and service recommendations.

  • Review sales contracts as well as other important information, i.e., room block, cut off date, special concessions and validate with client.

  • Monitor and enforce program deadline dates and work with clients to release event spaces not needed to maximize revenue.

  • Produce and distribute resume two weeks prior to event date and communicate any to support communication, readiness, and alignment across departments.

  • Generate and distribute BEOs for client and banquets.

  • Establish checklist trace dates using appropriate computer programs.

  • Upload daily events reports to the shared/common folder. 

  • Generate VIP and amenity forms as required.

  • Maintain solid and open communication with all hotel operating departments.

  • Maintain good working relations with preferred vendors of the hotel.

  • Maintain up to date information on program and food and beverage events in hotel’s inventory management system.


Departmental Excellence



  • Support hotel showcase events, open houses, and seasonal initiatives through administrative preparation and coordination.

  • Uphold the brand voice and service standards of Hotel X Toronto, Destination by Hyatt, throughout all written communication and client interactions.


Qualifications



  • 3-5 years of experience in event coordination in hotels or event venues - previous Hyatt hotel experience considered a strong asset.

  • Proven performance planning events with a strong focus on corporate events.

  • Polished and professional communication skills, both verbal and written, suited for a luxury hotel.

  • Authentic and empathetic approach to relationship development with clients, vendors, and colleagues.

  • Exceptional attention to detail and the ability to prioritize tasks effectively to meet deadlines.

  • Experience with Envision and floorplan software, considered a strong asset.

  • Proficient in Microsoft Word, Excel, and Outlook, with the ability to learn hotel-specific software and systems quickly.

  • Collaborative and supportive with colleagues; to foster a positive, respectful, and productive working environment.

  • Flexible shift availability including the occasional evening, weekend and holiday. Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the hotel.
