The opportunity
We are seeking a CBIS Coordinator - Facilities to join CSIRO’s Business and Infrastructure Services (CBIS) team. Based at our Newcastle site, you’ll play a hands-on role in supporting the delivery of facilities services across highly specialised research environments.


As the CBIS Coordinator – Facilities, you will be responsible for the smooth operation of site property, buildings and support services at our Newcastle site. You will coordinate facilities maintenance services and daily operational activities, ensuring effective corrective and preventative maintenance, and contributing to continuous improvement of systems and processes.


Working as part of the regional CBIS team, you will support asset management activities, monitor performance, and deliver high quality services that meet operational and stakeholder needs.


Please note, the role will involve out-of-hours and call-out responsibilities.


Your high-level duties will include: 



  • Coordinate and monitor facilities management work requests through to completion, ensuring alignment with service level agreements

  • Liaise with clients and contractors to anticipate needs and ensure delivery of high quality services

  • Supervise contractor performance and provide timely reporting against contract KPIs

  • Monitor compliance with legislative and organisational requirements, including Health, Safety and Environment

  • Support asset management through maintenance scheduling, reporting and continuous improvement initiatives

  • Respond to operational needs including site services such as security, cleaning, grounds maintenance and waste management

  • Identify and escalate risks and contribute to effective asset management strategies

Salary: AU$100k - AU$113k pa + 15.4% superannuation

As the successful candidate, you will bring:



  • Building related trade certificate or relevant work experience in the delivery of facility management services across hard and soft services, for a diverse range of complex and highly serviced support facilities

  • Experience and ability in the development and coordination of timely procurement and delivery of reliable, cost-effective Facility Management services.

  • Demonstrated knowledge of procurement processes, including arranging internal or external service providers, approvals, preparation and coordination of technical specifications for tender documents, tender and formal quotation procedures.

  • Demonstrated ability to work under general direction, accept responsibility and be accountable for on-site service provision, including capability to co-ordinate trade and other services contractors to ensure delivery of hard and soft services in accordance with relevant time, cost, quality, statutory and user satisfaction requirements.

  • Demonstrated knowledge and experience applying relevant procedures/protocols, compliance and statutory requirements associated with Federal, State and Local Government building and services codes.

  • Demonstrated understanding of Work Health and Safety requirements that are applicable to projects.

  • Demonstrated understanding of building management systems and work order systems.

  • Proven interpersonal skills including sound negotiation and written and oral communication skills and an ability to cultivate productive working relationships with internal and external stakeholders, landlords, tenants and service providers.
