Job Description - Collections and Accounting Assistant (FarmCash Program)

The Collections and Accounting Assistant plays a key role in supporting Alberta Grains’ financial operations by ensuring loan repayments are accurately tracked, collections are handled professionally, and accounting processes run smoothly. This role works closely with producers, loan officers, and the Accounting team to support timely repayments, maintain accurate records, and strengthen internal controls.

Job Type: full-time permanent, 40 hours per week, onsite at the Alberta Grains office.
Key Responsibilities:
Loan Repayment & Collections
Monitor and follow up on loan repayments to ensure deadlines are met.
Contact producers regarding repayment schedules, outstanding balances, or repayment plans.
Prepare and manage repayment collection agreements.
Conduct proactive collections and follow up on delinquent or defaulted loans.
Track repayment activity in the loan management system and resolve discrepancies with internal teams.
Loan & Accounting Support
Update, maintain, and verify loan information in the loan management system.
Assist with posting payments and reconciling loan repayment data.
Maintain accurate and organized loan and financial records in line with internal policies.
Support month-end, year-end, and ad hoc accounting tasks.
Assist with internal control updates, documentation, and process improvements.
Operational & Team Support
Respond to producer inquiries regarding loan balances, repayment options, and account details.
Collaborate with loan officers, administrative staff, and the Accounting team to support workflow and financial processes.
Participate in continuous improvement initiatives within collections and accounting.
Deposit cheques and handle related administrative tasks.
Qualifications:
Diploma or degree in Accounting, Finance, Business Administration, or a related field.
Experience in collections, accounting support, or account reconciliation.
Strong attention to detail with excellent organizational and time management skills.
Clear written and verbal communication skills, with a professional and respectful approach to collections.
Working knowledge of basic accounting principles and financial documentation.
Proficiency in Microsoft Office, particularly Excel; experience with loan management systems is an asset.
Ability to manage multiple priorities in a fast-paced, deadline-driven environment.

Competitive salary: $47,300–$53,000 (based on experience)
Vacation: 3 weeks annually (increasing to 4 weeks after 4 years)
