The Commercial Loan Fulfillment Specialist is the driving force behind getting commercial loan deals closed. This role owns the end-to-end fulfillment process from credit approval to funding, serving as the central orchestrator among borrowers, lenders, legal counsel, third-party providers, and internal operations. The Fulfillment Specialist ensures deals move forward efficiently, accurately, and on time while maintaining exceptional service quality and regulatory compliance. Success in this role directly impacts BVCU’s ability to close business and deliver a best-in-class experience to our commercial members.
Major Duties & Responsibilities
Relationship Management:
- Build and maintain positive, service-oriented, and collaborative relationships with internal and external stakeholders
- Serve as the central point of coordination among relationship managers, borrowers, legal counsel, title companies, insurance agents, and third-party service providers
Deal Pipeline Management & Coordination:
- Own the approved loan pipeline from commitment issuance through successful funding
- Manage and track all conditions precedent to closing; proactively chase down outstanding items including appraisals, environmental reports, insurance certificates, legal opinions, and title work
- Set and drive realistic closing timelines; identify and escalate bottlenecks before they impact deal timelines
Documentation & Closing Execution:
- Draft and prepare loan documentation including loan agreements, security documents (GSAs, mortgages), and officer certificates
- Compile and prepare member documentation and membership packages
Liaison with Shared Services:
- Request processing for new and existing loan account maintenance in the banking system
- Request registration and discharge of Personal Property Registry (PPR) to maintain security interests
- Instruct wire payments to disburse loans accurately and on schedule
- Communicates one-time payment pulls and recurring PAD setups via CAFTS as well as instructions to process fees
Security & Collateral Management:
- Pulls Personal Property Registry (PPR) reports
- Ensure all security documentation meets legal requirements and maintains the credit union's security position
- Follow up on insurance policy expiries and update collateral records accordingly
Loan Servicing & Modifications:
- Draft renewal documents and update loan accounts
- Complete prepayment calculations, prepare payout statements, and close paid-out loans
- Update payment schedules, due dates, and lien details
Construction & Specialized Lending:
- Process construction progress draws and related documentation
- Manage Letters of Credit by processing reductions, closures, and updates
- Administer monthly syndication reporting and process journal entries and payments
- Support lead syndication responsibilities including document preparation, participant liaison, and payment tracking
Complex Business Account Opening:
- Lead the end-to-end opening of complex commercial and business accounts
- Collect, review, and validate all required documentation including articles of incorporation, partnership agreements, trust deeds, beneficial ownership declarations, and authorized signing authority
- Conduct due diligence in compliance with KYC, AML, and FINTRAC regulatory requirements
- Identify and escalate higher-risk account structures or ownership arrangements to compliance and relationship managers
Commercial Banking Support:
- Support commercial banking clients with day-to-day banking needs including transaction inquiries, account maintenance, and service requests
Compliance, Reporting & Administration:
- Ensure all deals are completed in compliance with internal policies and regulatory requirements
- Prepare and submit internal and regulatory reporting
- Support credit committee administration including minute-taking and documentation preparation
EDUCATION & QUALIFICATIONS
- Minimum grade 12 education
- 1-2 years of commercial lending, loan operations, or deal coordination experience
- Exceptional organizational and project management skills with proven ability to meet deadlines
- Outstanding attention to detail with a focus on accuracy and regulatory compliance
- Excellent communication and relationship-building skills
- Proven computer skills including strong working knowledge of MS Office (Word, Excel, Outlook)
- Ability to handle confidential information with discretion and professionalism
- Must be bondable; criminal and credit record check required
- Legal authorization to work in Canada on a full-time basis
Preferred
- Experience with DNA core banking system and cloud-based lending platforms
- APPRES accreditation or other commercial lending credentials
- Experience reading and interpreting commercial loan agreements, security documents, and legal opinions
- Familiarity with Personal Property Registry (PPR) and land title systems
- Experience with deal pipeline management
- Knowledge of syndicated lending and loan participation structures
