Committees and Special Projects Lead (Internal Only)

OPPORTUNITY:

Reporting to the Senior Manager, Strategic Initiatives, the Committee and Special Projects Lead (the Lead) supports committees and working groups that influence the delivery of medical services in BC. Working as part of a high-performing team, the Lead helps address medical staff service challenges, coordinates project implementation, and engages with senior leaders across the Ministry of Health, HEABC, health authorities, and other health system partners. The role requires managing highly sensitive and confidential information, with discretion and strict adherence to privacy requirements. Success in this position depends on exceptional communication skills, a proactive service-orientated approach, and an ability to work independently.

Responsibilities include:

• Collaborates and builds effective working relationships with internal teams and external partners to provide effective secretariat support for assigned committees and working groups. Acts as first point of contact for assigned committees, screens and responds to day-to-day enquiries, identifies risks and escalates matters as required.


• Schedules meetings, liaises with invited guests, and manages meeting logistics for virtual and in person meetings, including formulating and distributing agendas and materials.


• Prepares briefing materials, presentations, reports and background information for committee chairs, committee meetings and other assigned projects.


• Supports consultation and engagement of internal teams and external partners by developing engagement approaches, facilitating input and feedback, and ensures perspectives are appropriately considered in committee discussions and recommendations.


• Records accurate meeting minutes, key decisions and action items. Tracks and monitors action items to ensure timely completion.


• Ensures adherence to governance processes and reporting requirements for assigned committees.

Required Experience & Knowledge:

Bachelor’s degree in business, communications, public policy, healthcare or another relevant discipline and a minimum of 5 years’ experience managing projects on behalf of executives or governance structures or an equivalent combination of education and experience.

• Previous experience in providing secretariat services to multi-stakeholder committees or groups.


• Ability to work independently within a defined scope.


• Strong organizational, project and change management skills, including the ability to develop, implement, monitor and evaluate strategic initiatives and projects.


• Demonstrated success as a project manager.


• Exceptional writing, verbal communication, and presentation skills.


• Possesses a high degree of professionalism and diplomacy.


• Ability to prioritize effectively and deliver results within established timelines.


• Advanced skills in Microsoft Office applications including Outlook, Word, Excel, and PowerPoint.


• Adaptability and flexibility to reprioritize as issues surface and new initiatives enter the portfolio.

Salary Range: $76,111 to $99,895

Typical Hiring Range: $76,111 to $95,138

In determining salary, HEABC considers many factors including the successful candidate’s skillset and experience as well as internal equity. The final salary offer will be at HEABC’s sole discretion and presented as part of a competitive total compensation package.
