Job Description - Condominium Manager (Etobicoke, New Construction Experience)

About the role

ICON Property Management is seeking a proactive and knowledgeable Condominium Manager to oversee the successful transition and ongoing management of a new construction condominium community. This role is ideal for an experienced professional who understands the unique demands of new developments, including performance audits, warranty management, interim occupancy, and coordination with developers and construction teams.


Working closely with the Board of Directors, Regional Director, site staff, and key stakeholders, the Condominium Manager will be responsible for establishing foundational procedures, managing early operational issues, and ensuring that the community is positioned for long-term success. This is a dynamic opportunity for a detail-oriented leader who thrives in a fast-paced environment and has a strong grasp of the Condominium Act, construction deficiency processes, and Tarion warranty coverage.

What you'll do

  • Lead the turnover process from developer to condominium corporation, including document review and performance audit coordination
  • Liaise with the developer, construction teams, and consultants to address deficiencies and warranty items
  • Ensure compliance with Tarion warranty milestones and facilitate timely resolution of outstanding items
  • Establish core building systems, vendor contracts, and operational procedures in collaboration with key stakeholders
  • Act as the primary liaison with the Board of Directors, supporting early governance decisions and community planning
  • Assist the board in setting priorities for reserve planning, vendor selection, and community initiatives
  • Provide education and guidance to new directors regarding roles, obligations, and best practices under the Condominium Act
  • Oversee service providers, maintenance programs, and site inspections to ensure building readiness and code compliance
  • Establish preventative maintenance schedules, emergency procedures, and operational manuals
  • Maintain accurate records of contracts, warranty claims, resident communications, and financials
  • Ensure the building complies with health and safety regulations, fire codes, and other applicable legislation
  • Respond to owner inquiries and concerns during interim and final closing phases
  • Manage the registration process for new residents and coordinate welcome communications and orientation
  • Oversee building amenities and move-in procedures to ensure smooth day-to-day operations
  • Act as the primary point of contact for residents, addressing inquiries and complaints professionally and in a timely manner
  • Prepare resident notices, owner communications, and welcome packages for new owners
  • Create board meeting agendas, conduct meetings (including some evenings), and prepare accurate meeting minutes
  • Prepare and manage annual operational budgets for the condominium corporation
  • Review and code invoices, track expenses, and analyze financial reports to ensure fiscal responsibility
  • Prepare documents for the condominium corporation’s annual audit
  • Administer all financial aspects of the property, including budgeting, variance analysis, and reserve fund planning
  • Review and prepare status certificate templates for release in compliance with legislative timelines
  • Negotiate and manage service contracts for building maintenance, cleaning, landscaping, and other essential services
  • Monitor vendor performance and ensure adherence to service standards and contract terms

Qualifications

  • General Licence under the CMRAO (required)
  • Minimum 3–5 years of experience managing residential condominium properties
  • Direct experience with new construction communities and developer transitions (preferred)
  • Strong understanding of the Condominium Act, Tarion warranty process, and performance audits
  • Proficiency in budgeting, financial reporting, and contract administration
  • Excellent written and verbal communication skills, including comfort conducting board meetings
  • Familiarity with property management software (e.g., Condo Control, Condo Manager) and Microsoft Office Suite.
