Job Description - Contracts Administrator

Your role within the team:

The Contracts Administrator reporting to the Commercial Manager will be responsible to administer and manage major subcontracts under the Prime Contract (the Contract for delivering the Trackwork and Systems portion of the Surrey-Langley Skytrain Extension Project, under which TIBC have been appointed as the preferred proponent) on the Surrey-Langley Skytrain Extension Project, including but not limited to:

  • Organizing and chairing of all regular commercial meetings, ensuring actions are clearly recorded and regularly updating their status, to ensure Subcontractor’s adherence to the Contract terms under which the Subcontract is administered and any supporting addendums

  • Attendance to all technical meetings where relevant to understand progress, change management and potential risk items.

  • Review of Periodic Reports issued by the Subcontractor, confirming accuracy of information, adherence to the Contract terms under which the Subcontract is administered and any other agreements, and regularly assessing progress against the latest accepted schedule.

  • Review and preparation of responses to change requests from the Subcontractor, and preparation of Change Certificates; seeking signatories for approval of changes, in accordance with project’s Levels of Authority Matrix while assisting with the preparation of change requests under the Prime Contract where applicable to the Subcontract.

  • Preparation of assessment of Subcontractor’s Application for Payment in accordance with Article 6 and Schedule B of the Contract terms under which the Subcontract is administered , ensuring all Milestone Criteria has been achieved as approved by the appropriate signatory.

  • Sharing of information in relation to payment, schedule, risk and scope change to the wider commercial team (finance, cost, project controls, prime contract) on a monthly basis or as dictated by the Prime Contract, and to the wider project team as requested.

  • In addition to the above responsibilities, the Contracts Administrator will contribute to the success of the project by working with the Procurement Lead and the Commercial Manager to develop and implement systems and processes to manage all elements of the Subcontract Management functions.

The ideal candidate will bring:

  • 5 to 7 years’ experience in Contract Administration, Quantity Surveying or Contracts Management

  • Experience in large, complex, civil construction projects is essential and experience with electrical, mechanical and trackwork is of benefit.

  • Possess strong commercial acumen, and proficiency in drafting concise, accurate, professional correspondence.

  • Strong time management skills and the ability to multi-task and deliver in a fast-paced environment.

  • Ability to work proactively in a large and diverse team.

  • Proficiency in reading and interpreting contract requirements in various contract formats and a strong understanding of the Builders Lien Act and British Columbia Law.

  • Strong written and verbal communication skills on English.

Expected compensation for this role is between Pay Range $101,000 - $140,000 annually. Base salaries are determined according to several parameters like skills, experience, and potential impact on the role. Internal and external competitiveness are also taken into account in our offers.
